Office Manager
Job Title: Office ManagerJob Description We are seeking a dedicated and organized Office Manager to oversee the daily operations of our office environment. This role involves maintaining a welcoming and efficient space for clients, visitors, and staff while managing essential office resources and correspondence. You will be the primary contact for staff inquiries and responsible for various administrative tasks. Responsibilities + Maintain a welcoming, safe, and tidy office environment for clients, visitors, and staff. + Manage correspondence and pertinent office resources, including phone calls, emails, mail, and packages. + Order and maintain office resources and inventory such as workspace layout seating, furniture, supplies, technology equipment, and signage. + Serve as the primary point of contact for staff inquiries and building management, understanding office lease terms and commitments. + Assist with submitting property requests including security access, parking, and maintenance work orders. + Provide direct support to staff on timesheets, expense reports, certification renewals, and mileage log reports. + Carry out office sustainability programs and ensure accountability to office lease terms. + Prepare for and receive vendor, guest, client, and executive leadership visitations and meetings. + Assist with travel arrangements, meeting registrations, and conference, seminar, and training coordination. + Review, process, and track payment of office vendor invoices and submit office expenses. + Support the Office Principal on business matters, including building management, crisis meetings, and IT system updates. + Perform human resource duties related to new hire orientation and terminations. + Oversee duties as safety coordinator and manage activities/events related to the Employee Engagement & Community Program. + Participate in Administrative Quality Improvement Meetings, providing quality improvement ideas. + Assist with the growth of the Administrative Learning Program, serving as a presenter or subject matter expert. + Provide remote support to offices where administrative staff are not present. + Other duties may be assigned as necessary. Essential Skills + Proven experience in administrative support, office management, and office administration. + Proficiency in Microsoft Office Suite, including Outlook and SharePoint. + Strong organizational and multitasking abilities. + Excellent communication skills, both verbal and written. Additional Skills & Qualifications + 7+ years of relevant experience preferred. + Experience with onboarding and offboarding processes. + Data entry proficiency. + Ability to support multiple locations. Work Environment This is an on-site position with working hours from Monday to Friday, 8 AM to 5 PM. There may be some remote flexibility in the future, but candidates must be available to work on-site full-time initially. The role offers a long-term opportunity to support multiple locations. Pay and Benefits The pay range for this position is $39.00 - $47.00/hr. Eligibility requirements apply to some benefits and may depend on your job classification and length of employment.
