Office Manager
Description We are looking for an experienced Office Manager to join our team in Austin, Texas on a contract basis. This role is essential for ensuring the efficient and detail-oriented operation of the office by managing administrative tasks and maintaining a positive work environment. The ideal candidate will have a proactive approach to problem-solving and a passion for fostering company culture through collaboration and event coordination. Responsibilities: • Manage office facilities, ensuring cleanliness, organization, and prompt resolution of maintenance issues by coordinating with building management and service providers. • Facilitate onboarding processes for new employees, including providing access cards, parking validations, seating arrangements, and office tours. • Oversee the front lobby display content and update it in collaboration with agency relationship owners to create a welcoming experience for visitors. • Coordinate meeting logistics, ensuring organizers have necessary supplies and amenities for successful events. • Welcome and assist visitors, ensuring security protocols are followed and providing parking instructions and validations as needed. • Maintain inventory of office supplies, snacks, and beverages, ensuring pantry areas and refrigerators remain clean and organized. • Actively contribute to a positive office atmosphere by planning and coordinating events that foster collaboration and engagement. • Handle administrative tasks such as answering inbound calls, managing accounts payable and receivable, and utilizing accounting software systems. • Collaborate with team members and external stakeholders to address facility-related issues and streamline office operations. • Monitor and enforce visitor sign-in protocols to ensure security and compliance. Requirements • Proven experience in office management or administrative roles, with strong organizational skills. • Excellent communication and interpersonal abilities, with a collaborative and solution-oriented mindset. • Proficiency in tools such as accounting software systems, CRM platforms, and ADP financial services. • Ability to work independently while managing interruptions and prioritizing tasks effectively. • High level of confidentiality and discretion when handling sensitive information. • Skilled in managing accounts payable (AP) and accounts receivable (AR) processes. • Familiarity with software such as Concur and Dentrix Dental Software is a plus. • Onsite availability five days a week in Austin, Texas.
