The Office Manager is a key member of the administrative team and serves as the first point of contact for students, families, and prospective parents. This role requires exceptional organizational and communication skills, flexibility, discretion, and the ability to manage multiple responsibilities in a dynamic school environment.

Front Office and Community Relations
Serve as the initial point of contact for students, parents, visitors, and prospective families, providing a warm and professional presence in the front office. Communicate clearly and compassionately across a diverse community, ensuring timely dissemination of information to families and staff. Track attendance and update as necessary throughout the day. Help maintain school communication platforms and databases. Maintain inventory and procure school-wide supplies.Admissions Support
Provide a high level of coordination and logistical support for the admissions process, including scheduling tours, student visits, and family interviews, tracking applications, and liaising with prospective families.Health and Safety Compliance
Act as the custodian of school health and safety records; maintain compliance with the State Department of Health and Department of Justice requirements. Monitor and track student attendance and illnesses, including COVID-19 and other communicable diseases, and ensure adherence to public health protocols. Provide immediate support for sick or injured children.Emergency Preparedness
Coordinate and support the school’s emergency preparedness plan, including maintaining emergency supplies and documentation. Organize and execute monthly fire drills, as well as lockdown and earthquake drills, in coordination with the emergency planning team.Field Trip Support
Assist teachers with transportation support for field trips and overnight trips, including setting up public transportation logistics and preparing carpool driver packets. Ensure effective and timely communication with parents regarding trip details and emergency contacts. Other duties as assigned include managing the online standardized testing for 4th-8th grades.Required Skills:
High-level organizational and time management skills; ability to manage competing priorities with grace and accuracy. Strong written and verbal communication skills. Discretion, professionalism, and a commitment to confidentiality in handling sensitive information. Relevant work experience in a school or child-centered environment is preferred. CPR and first aid certification, or willingness to obtain. Mandated Reporter training, or willingness to obtain. Demonstrated ability to remain calm and responsive in emergency situations. Strong technology skills with experience using Google Workspace, Microsoft Office apps, and database programs. Ability to lift 25 pounds. Required Co-op Responsibilities A weekly mandatory staff meeting until 5:00 PM Four work weeks each year (Two before school starts, two after it ends.) Serving on committees that may require evening meetings. Attending admissions events on weekends such as the open house and kindergarten play dates. Shared decision-making means contributing your ideas, working to build consensus, and, after a decision has been made, going forth with the voice of the group.Requirements / Qualifications
