Office Manager
Description We are looking for an experienced Office Manager to join a government department in Margate, Florida. This Contract-to-Permanent position involves overseeing a variety of administrative tasks, ensuring smooth office operations, and managing sensitive information with discretion. The ideal candidate will possess strong organizational skills, extensive knowledge of departmental processes, and the ability to work independently with minimal supervision. Responsibilities: • Supervise and coordinate daily office functions, including training and scheduling clerical staff. • Act as the primary administrative assistant to senior officials, managing administrative details and correspondence. • Prepare and maintain accurate records, reports, and documents while adhering to departmental procedures. • Edit and proofread materials for grammar, punctuation, and consistency to ensure high-quality results. • Communicate administrative directives and department policies to staff members effectively. • Manage department calendars, including scheduling meetings, interviews, and other events. • Oversee the implementation and maintenance of electronic and hardcopy records management systems. • Process various forms and applications required by the department, ensuring accuracy and timeliness. • Compile and distribute regular reports, announcements, and other essential materials. • Perform emergency response duties as needed. Requirements • A minimum of 2 years of experience in an office management or administrative role. • Proficiency in accounting software systems and familiarity with tools such as ADP, Concur, and CRM. • Experience with accounts payable (AP) and accounts receivable (AR) processes. • Strong skills in managing records and maintaining organized filing systems. • Ability to handle sensitive and confidential information with discretion. • Excellent written and verbal communication skills, including proficiency in editing and proofreading. • Familiarity with office software such as About Time and Dentrix Dental Software. • Proven ability to prioritize tasks and work independently with minimal supervision.
