Office Manager
Description Robert Half is seeking an office manager for one of our clients at a law firm. This is a contract to permanent opportunity. The office manager is responsible for the firm's intake team and will report directly to the firm's ownership/lead attorney and collaborate closely with the leadership team on initiatives to meet organizational goals. Key Responsibilities: · Team Management: Manage, coach, and train team of intake specialists to ensure high performance and growth. · Performance Monitoring: Track daily team performance and measure critical KPIs, including response time, conversion rate of leads, lead losses, call resolution rate, and quality control metrics. · Workflows and Processes: Identify opportunities to improve workflows and streamline the intake process while maintaining compliance with firm policies and legal standards. · Reporting: Prepare and deliver detailed reports to the firm’s leadership team, presenting insights and analysis on team performance, client service operations, and growth opportunities. · Compliance: Ensure all client service operations adhere to applicable legal, ethical, and firm policies. · Technology Utilization: Execute and manage the integration of technology tools to improve operational efficiency, including Lead Docket, Filevine, LawPay, and analytics tools. · Collaboration: Work closely with firm leadership to align intake processes with larger business goals and communicate feedback from the intake team to guide decision-making. For immediate consideration contact Brenda Rodriguez (865)-370-2206 Requirements Required Qualifications: · At least 2 years of management experience, preferably in a law firm setting. · At least 2 years of experience working in a law firm or legal industry. · Proficiency in Microsoft Office Suite, particularly Excel for reporting and analysis. Preferred Qualifications: · Familiarity with legal tech tools, including Lead Docket, Filevine, and LawPay. · Advanced knowledge of reporting and analytics tools, such as Domo and advanced Microsoft Excel functions. · Strong leadership, organizational, and communication skills. · Knowledge of legal standards and compliance requirements related to client intake operations.
