Office Facilities Coordinator
Description We are looking for an organized and proactive Office Assistant to join our team near St. Paul, Minnesota. This is a Contract-to-long-term position, providing an excellent opportunity to grow within the company while supporting various office functions. The ideal candidate will play a crucial role in maintaining smooth office operations and ensuring exceptional service to employees and visitors. Responsibilities: • Welcome visitors and team members, offering support and addressing inquiries. • Communicate company policies and initiatives as requested by different departments. • Manage daily office building operations, including monitoring security and addressing facilities-related requests. • Handle mail and deliveries, including sorting, notifying recipients, and ensuring timely distribution. • Process vendor invoices and assist with vendor coordination. • Issue security clearances and manage door locking schedules. • Maintain content on the front lobby monitor in collaboration with Marketing. • Order and organize office supplies to ensure adequate stock. • Support event setup and teardown, catering coordination, and car service arrangements. • Notarize documents as needed and perform other administrative tasks as assigned. Requirements • Experience with receptionist duties, including answering inbound calls and greeting visitors. • Proficient in clerical tasks such as scanning documents and managing correspondence. • Familiarity with Microsoft Outlook and other office software. • Strong communication skills to interact effectively with employees, visitors, and vendors. • Ability to prioritize tasks and respond promptly to service requests. • Detail-oriented with a proactive approach to problem-solving. • Previous experience managing security protocols and building operations is a plus. • Certification as a notary public is preferred but not required.
