Join a team that has the environment down to a science. **Your Opportunity** As an Office Coordinator, you will work in our Richmond, VA office. You will be well-organized to handle daily operations for multiple business lines and shared services. This role will also be responsible for liaising with Stantec’s functional support teams in accounting, health & safety, human resources, and information technology; establishing and maintaining office protocols and procedures; and managing special office projects and activities. **Your Key Responsibilities** + This is a full-time position based in Richmond, VA + Be the initial point of contact for the office providing general support to visitors + Develop and implement office policies by setting up procedures and standards to guide the operation of the office + Manage relationships with vendors, service providers, and the property management team + Process accounts payable and maintain office checking account + Serve as the local office health, safety, security and environmental coordinator; prepare for and manage the office’s annual HSSE audit + Provide HR support on new hire orientation and other HR compliance-related activities + Coordinate with Stantec’s regional IT representatives to manage office assets and network needs + Organize and maintain electronic documents/directories in accordance with company standards helping as needed with project management compliance and internal project audits + Assist leadership and senior staff with submission of expense reports and travel arrangements + Participate actively in the planning and execution of company events + Fleet coordinator for company vehicles including maintenance/repair scheduling, transportation to and from maintenance/repair facility, and processing vehicle logs + Support other special projects and activities as assigned **Your Capabilities and Credentials** + Excellent interpersonal, communication and people management skills + Highly organized and detail-oriented with the ability to prioritize tasks + Enthusiastic demeanor, collaborative approach, and solutions-oriented + Technological proficiency especially with MS Office, MS Excel, and Office 365. Strong MS Word formatting skills required. PowerPoint proficiency and/or graphics design experience a plus. **Education and Experience** Minimum of a high school diploma or equivalent; bachelor’s degree preferred 10 years’ collective, progressively responsible experience working in an office environment or other setting with administrative duties, preferably within an international and/or technical industry. Typical office environment working with computers and remaining sedentary for long periods of time.
