What You'll Do

Key Responsibilities:

 

Team & Office ManagementEnsure optimal coordination within the support team and across departments.Manage day-to-day operations of two officesEnsure high attendance and operational efficiency across all office locations.New hire onboarding on Cairo office operations

 

Facilities & Building ManagementOversee office functionality and appearance, ensuring both locations are well-maintained.Coordinate with vendors for monthly maintenance visits and resolve technical issues.Manage utility processes including water and electricity recharges. (Frequent checks till we have clear highs and lows to automate the process – Bi-weekly checks in the winters and weekly checks in the summer)Schedule and coordinate printer maintenance visits for both offices with local IT. (Happening on a monthly basis – with IT on ground with the maintenance team but you make sure they’re scheduled)Handle office space planning, office design, expansion, remodeling, or relocation.Maintain communication with the landlord and oversee rental contracts.Lead new office projects, coordinating with BCG Cairo, global teams, architects, contractors, and service providers.Ad-hoc tasks related to the office facility

 

Safety & SecurityAct as the primary contact for all safety and security protocols for the Cairo office.Coordinate with global and regional teams on safety initiatives.Oversee building access systems and first aid readinessSupport compliance with information security and data loss prevention (DLP) protocols.Coordinate with the global team of IRT sessionsAd-hoc tasks related to Safety and security of the office and BCG teamsSend quarterly refreshers to the team on all BCG Cairo security processes

 

IT SupportCoordinate new hire IT setup and end-user supportManage access cards for the officesAd-hoc tasks related to Office accessManage with IT employee business lines and make sure lines are activated prior to new employee joiningManage signpost on office screens when needed

 

Office Operations & Administrative SupportHandle onboarding activities such as updating distribution lists and adding new hires to the office’s listOversee weekly kitchen and office supply orders for both office locations. (Quarterly surveys to be sent out to the team for order preferences to make sure team needs are met)Generate visa invitation letters for visiting teams.Manage internal communications tools the employee documentation.Ad-hoc tasks related to office managementBi-annual new hire welcome packs and professional photographs

 

MobilitySupport immigration documentation and coordinate with service providers (PEO).Track visa status of immigrants and upcoming travel requirements. (Tracking expiration dates for renewals)Assist global teams with employee transfers. (E.g. as security briefings)Coordinate with Global Mobility team on the requirements and the process to ensure compliance in all cases.Ad-hoc tasks required by Global Mobility Team for the mobility compliance.

 

Transportation & Local LogisticsApprove and coordinate London cab bookings and MDP limo arrangements.Arrange local transportation for client workshops and office events.Maintain strong relationships with transportation vendors and resolve issues.

 

Travel CoordinationOversee excel travel flight and hotel bookings for staff and visitors.Support team with visa processes with Excel travel.Liaise with Excel Travel and related vendors to streamline travel logistics.Ensure timely approvals and booking confirmations.

 

Vendor & Contract ManagementInterview, onboard, and manage contracts for local vendors (facilities, drivers, catering, etc.).Oversee all vendor communications and monthly invoiceEnsure invoice accuracy before approvals and payments.Resolve issues between vendors and employees. (Such as issues with travel agency/car provider)Assisting the team during any escalation needed to make sure our team is getting the desired service level.

 

Social Insurance & Employee DocumentationManage social insurance processes including new hire registrations and offboarding.Manage documentation with BCG Cairo, Third Parties, and government agencies.Ensure records are maintained and accurate handovers occur during resignations.Support with employee ID, passport renewal or title changes by managing the documents needed from social insurance when requested.Ad-hoc tasks coming from the social insurance and employee documentation to ensure being compliantMaintain employee tracking sheet with all details required for easiest access.

 

Financial ManagementTrack and manage budgets related to facilities, mobility, consumables, and office events.Review and approve all related vendor invoices and maintain spend control.

 

Office Events & EngagementPlan and organize recurring and special events (bi-weekly, monthly, annual).Coordinate workshops and meetings for internal teams and clients.Source quotations, manage budgeting, and execute events in collaboration with local agencies.Establish corporate benefits such as restaurant and coffee shop deals for employees.Ad-hoc tasks related to office events to maintain high level of event management and problem solving
