Description

 

Are you organized, detail-oriented, and passionate about creating a smooth and professional office environment? We are looking for an Office Assistant based in Bucharest to support daily office operations and provide administrative assistance to the HR, IT, and other support teams. 

 

 

What are we looking forAdvanced level of English and RomanianPrevious experience in a receptionist, administrative, or office assistant roleStrong communication and interpersonal skillsProfessional appearance and attitudeExcellent organizational skills and attention to detailAbility to manage multiple priorities and maintain confidentialityProficiency in MS Office (Word, Excel, Outlook)Experience with HR systems is considered an advantageAvailability to work on-site from our Bucharest officeNo written warnings in the past 6 months or ongoing disciplinary process (for internal candidates)Tenure of at least 6 months on the current role within the company (for internal candidates)

 

 

Your responsibilitiesWelcome visitors and manage the reception area in a professional mannerAnswer, screen, and direct phone calls and messagesHandle incoming and outgoing mail, courier services, and general inquiriesMaintain and order office supplies; coordinate repairs and facility needsSupport meeting logistics and prepare rooms as neededOrganize travel arrangements for employees (transport, accommodation, etc.)Assist in planning and coordinating internal eventsAdminister access badges for employees and visitors; support office security proceduresCollect, archive, and maintain employee documentation and recordsSupport onboarding and offboarding processes (welcome kits, badge returns, etc.)Act as a liaison between employees and the HR team on routine matters
