Customer Administrative Representative | Office Assistant
Job Description
We are seeking a detail-oriented Customer Administrative Representative to join our team. The ideal candidate will be responsible for processing orders, coordinating shipments, and providing exceptional customer service. This role requires excellent communication skills, strong organizational abilities, and a commitment to ensuring customer satisfaction.
Responsibilities
Accurately enter and verify customer orders in the system, ensuring timely processing.Input production information into the system.Coordinate shipments with clients and carriers and resolve any shipping issues.Respond to customer inquiries via phone, email, and chat, providing information on order status, product availability, and shipping details.Address and resolve customer complaints and issues in a professional and timely manner.Maintain accurate records of orders, shipments, and customer interactions.Collaborate with the sales, warehouse, and logistics teams to ensure smooth order fulfillment and delivery.Identify opportunities for process improvements and contribute to enhancing the overall customer experience.Answer phone calls and direct them to the appropriate individuals, taking messages when required.Greet visitors, provide information about the company, and direct them where necessary.Maintain filing systems, retrieving and updating documents.Process orders, invoices, and shipments as part of basic accounting tasks.Communicate via phone and email with staff, customers, and carriers when required.Generate and distribute paperwork, such as Bills of Lading and invoices, to ensure proper communication with staff, customers, and carriers.Essential Skills
Proven customer service skills.Strong computer skills, including proficiency in Microsoft Office and order management systems.Experience in data entry, shipping, and administrative roles.3-5 years of experience in an administrative, business, or manufacturing environment.Proficiency in Microsoft Excel, SAP, and ERP systems.Excellent communication and interpersonal skills.Ability to multitask and prioritize in a fast-paced environment.Attention to detail and accuracy.Problem-solving skills and a customer-centric attitude.Additional Skills & Qualifications
High school diploma or equivalent; an associate's or bachelor's degree is preferred.Experience in order entry and clerical support roles.Inventory management experience.Professional demeanor when interacting with visitors and clients.Work Environment
The position requires working from the office from 8am to 5pm, five days a week.
Job Type & LocationThis is a Contract to Hire position based out of Lemont Furnace, PA.
Pay and BenefitsThe pay range for this position is $20.00 - $24.00/hr.
