Job Description
We are seeking a detail-oriented Customer Administrative Assistant to join our team. The ideal candidate will be responsible for processing orders, coordinating shipments, and providing exceptional customer service. This role requires excellent communication skills, strong organizational abilities, and a commitment to ensuring customer satisfaction.
Responsibilities
Accurately enter and verify customer orders in the system, ensuring timely processing.Input production information and manage data entry tasks.Coordinate with clients and carriers on shipments, resolving any shipping issues.Respond to customer inquiries via phone, email, and chat, providing information on order status, product availability, and shipping details.Address and resolve customer complaints and issues in a professional and timely manner.Maintain accurate records of orders, shipments, and customer interactions.Collaborate with sales, warehouse, and logistics teams to ensure smooth order fulfillment and delivery.Identify opportunities for process improvements and contribute to enhancing overall customer experience.Answer phone calls, direct them to appropriate individuals, and take messages when required.Greet visitors, provide information about the company, and direct them where necessary.Manage filing systems, retrieve, and update documents.Perform basic accounting tasks, including processing orders, invoices, and shipments.Communicate with staff, customers, and carriers when required.Generate and distribute paperwork such as Bills of Lading (BOLs) and invoices to ensure proper communication with staff, customers, and carriers.Essential Skills
Customer service experienceProficiency in computer and software skillsData entry and shipping experience3-5 years of experience in an administrative, business, or manufacturing environmentProficiency in Microsoft Excel, SAP, and ERP systemsStrong organizational and clerical support skillsExperience handling inbound callsAdditional Skills & Qualifications
High school diploma or equivalent; associate's or bachelor's degree preferredPrevious experience in order entry, shipping, administrative, or customer service rolesProficiency in Microsoft Office and order management systemsExcellent communication and interpersonal skillsAbility to multitask and prioritize in a fast-paced environmentAttention to detail and accuracyProblem-solving skills and a customer-centric attitudeAbility to prioritize tasks, manage multiple responsibilities, and meet deadlinesProfessional demeanor when interacting with visitors and clientsWork Environment
The position is based in an office and requires working from 8am to 5pm, five days a week. The role involves using computer software for data entry and order processing, and maintaining communication with various stakeholders.
Job Type & LocationThis is a Contract to Hire position based out of Lemont Furnace, PA.
Pay and BenefitsThe pay range for this position is $20.00 - $24.00/hr.
