Are you an organized and detail-oriented administrative professional with a passion for supporting dynamic teams? We are looking for an Administrative Assistant to provide critical support to a local, established organization. This role offers an excellent opportunity to work in a fast-paced environment while contributing to the accuracy and efficiency of their financial operations.
As an Administrative Assistant, you will play an essential role in the departments workflow by focusing on administrative tasks and ensuring smooth operations. Your main responsibilities will include:
+ Organize and process incoming documents, including printing and distributing cost corrections and invoices received from suppliers.
+ Confirm and categorize discrepancies in billing by type (cost vs. quantity) using internal systems to ensure accurate recordkeeping.
+ Assist the team by printing and organizing invoices with discrepancies, forwarding relevant documents to the appropriate individuals or departments for further resolution.
+ Facilitate follow-ups by researching Bill of Lading (BOL) documents, attaching supporting documentation to relevant records, and returning them to the team for further investigation.
+ Support payment processes by assigning batch numbers to groups of invoices, ensuring invoices are filed and organized in numerical order.
+ Provide assistance with tasks such as document stamping, filing, and ensuring all documentation is accurate and up-to-date.
Requirements
+ Proven experience in administrative support, preferably in a finance or accounts payable environment.
+ Exceptional attention to detail, along with strong organizational and time management skills.
+ Proficiency in Microsoft Office Suite (Excel, Word) and familiarity with financial or invoice management systems is a plus.
+ Strong written and verbal communication skills to collaborate effectively with internal teams and external stakeholders.
+ Ability to multitask and meet deadlines in a fast-paced, team-oriented setting.
