Office Assistant
Description We are looking for a detail-oriented Office Assistant to join our team on a long-term contract basis in Irvine, California. This role involves supporting daily office operations, managing mailroom activities, and ensuring a well-organized workspace. Responsibilities: • Receive, review, and distribute incoming mail and packages, ensuring timely handling and proper routing. • Monitor and maintain office supply inventory, placing orders as needed to keep stock levels adequate. • Keep the kitchen area stocked with beverages, snacks, and necessary utensils, ensuring staff needs are met. • Prepare meeting spaces for visitors, including investors, attorneys, and other guests, ensuring a well-prepared and welcoming environment. • Serve as the primary point of contact for external vendors, including facilities maintenance, repair services, and construction crews. • Collaborate with the IT department to coordinate equipment repairs and manage service contracts. • Dedicate several hours daily to scanning incoming mail and processing documents such as statements, turnover letters, and client correspondence. • Upload scanned documents to the appropriate ticketing system for efficient tracking and follow-up. • Safely dispose of original documents after scanning and securely discard promotional materials and unnecessary items. • Uphold office organization standards to facilitate smooth workflow and operations. Requirements • Proven experience performing receptionist and clerical duties in an office setting. • Proficiency in scanning documents and managing digital filing systems. • Ability to answer inbound calls professionally and assist with inquiries. • Familiarity with mailroom operations, including scanning and processing incoming correspondence. • Strong organizational skills and attention to detail. • Proficiency in Microsoft Office applications, including Word, Excel, and Outlook. • Excellent communication skills and ability to collaborate with teams and external vendors. • Strong time management skills to prioritize daily tasks effectively.
