Office Assistant
Description We are seeking a dedicated Office Assistant to support daily operations in an educational setting. This long-term contract position offers an exciting opportunity to contribute to a welcoming and detail-oriented environment, working closely with students, families, and staff. The ideal candidate will bring strong organizational and communication skills to ensure a smooth flow of administrative tasks and deliver exceptional customer service. Responsibilities: • Track and document attendance, absences, and tardiness, ensuring accurate entry into the student information system. • Provide a warm and detail-focused environment for families and visitors, addressing their needs with care. • Facilitate effective communication between parents, staff, and other stakeholders as needed. • Maintain consistent and punctual attendance while completing assigned clerical tasks. • Prepare routine correspondence, organize records, and handle mail sorting and filing. • Deliver exceptional customer service by assisting families with the registration process, event participation, and related inquiries. • Support enrollment efforts by addressing questions from prospective families and participating in enrollment events. • Collaborate with team members to ensure smooth office operations and handle additional duties as assigned. • Assist with record-keeping and electronic document management in alignment with office protocols. Requirements • Fluent in both English and Spanish to facilitate bilingual communication. • Strong attention to detail and a proactive approach to completing tasks. • Excellent organizational and planning abilities, with a proven ability to meet deadlines. • Effective communication and interpersonal skills for engaging with diverse stakeholders. • Ability to manage multiple priorities in a dynamic, fast-paced environment. • Proficiency in Microsoft Office and Google Suite applications. • Experience with Excel and Google Sheets is preferred. • Familiarity with contemporary office practices, ideally in a public sector or K-12 setting. • Knowledge of attendance and enrollment policies, as well as record-keeping and document retrieval processes.
