Description We are seeking a detail-oriented and organized Administrative Support Specialist to join our team within the construction industry. This role is crucial for ensuring the smooth operation of billing, contract administration, commercial collections, and customer follow-up processes. The ideal candidate will act as the central hub for department communication and workflow, utilizing Timberline software to track projects, prepare reports, and provide essential support to the Manager and the accounting team. + Billing and Contract Administration: Manage billing processes and ensure contract compliance, supporting accurate and timely invoicing for alarm and fire systems projects. + Commercial Collections: Oversee collections for commercial accounts, working closely with customers to resolve any payment issues promptly. + Customer Follow-up: Provide professional and timely follow-up with customers related to billing, collections, and project-related inquiries. + Workflow Coordination: Serve as the central hub for communication within the department, facilitating project workflows to ensure deadlines and objectives are met. + Project Tracking and Reporting: Utilize Timberline software to monitor project progress, generate detailed reports on departmental activities, and communicate findings with the Manager and accounting department. + Cross-functional Collaboration: Collaborate with team members across departments to maintain seamless operations and enhance customer satisfaction. Requirements Required Qualifications and Skills + Software Proficiency: Experience using Timberline software or other job-cost accounting platforms. + Organizational Skills: Exceptional ability to manage multiple priorities and meet deadlines within a fast-paced construction trade environment. + Communication Skills: Strong verbal and written communication abilities to effectively engage with customers and internal teams. + Attention to Detail: Adept at accurate documentation and data entry, ensuring precision in billing, reporting, and collections. + Collaboration & Teamwork: Proven ability to coordinate and facilitate workflow between departments and stakeholders. + Problem-Solving: Resourceful in troubleshooting issues related to contracts, billing, collections, and customer interactions.
