Description
We are seeking a dedicated Office Assistant to provide essential front-office services and administrative support. Operating under general supervision, this position will be the first point of contact for visitors and callers, ensuring that inquiries are resolved or appropriately directed.
Key Responsibilities:
+ Serve as the primary contact for all in-person visitors and incoming phone calls, ensuring a professional and welcoming experience.
+ Assess the nature of each inquiry, provide accurate information, resolve basic issues, or route customers to the correct department or team member.
+ Receive, process, and apply customer payments received in person, by mail, or over the phone.
+ Reconcile cash register totals at the start and end of business hours, coding payments and updating account balances as needed.
+ Guide residents through online self-service tools, including website navigation and automated payment setup.
+ Open, sort, and distribute incoming mail; prepare outgoing correspondence for mailing.
+ Support zoning and code operations by managing payments and applications for permit renewals, inputting data, and creating related documentation.
+ Assist with preparing meeting materials for boards and committees.
+ Inform residents of procedures related to sewer billing, assist with billing histories, and address related customer service needs.
+ Handle documentation for real estate settlements, including verifying property details, calculating final bills, and preparing required notices for settlement companies.
+ Provide clerical assistance across various departments, including economic development, recreation, and public works, as needed.
+ Participate in cross-training to ensure proficiency in multiple workflows, offering backup coverage for other team members.
+ Stay updated on relevant regulations and software tools through ongoing training.
Requirements
Qualifications & Skills:
+ Strong interpersonal and communication skills for both in-person and phone interactions.
+ Basic proficiency in office equipment and computer systems, with aptitude for learning new software.
+ Ability to manage multiple priorities, uphold confidentiality, and maintain a high degree of accuracy in all tasks.
+ Prior experience in administrative support, customer service, or related roles preferred.
