Office Assistant
Description We are looking for a highly organized and detail-oriented Office Assistant to join our team in Beverly Hills, California. In this contract role, you will play a vital part in ensuring the efficient operation of our facilities and providing exceptional service within a hospitality-focused environment. The ideal candidate will have experience managing office operations, coordinating with vendors, and supporting a dynamic workplace. Responsibilities: • Oversee daily office operations, including facility management for spaces accommodating up to 200 employees. • Coordinate with service vendors such as electricians to ensure timely maintenance and repairs. • Manage pantry supplies and inventory to support a well-stocked and organized workspace. • Serve as the first point of contact at the front desk, greeting visitors and ensuring a welcoming environment. • Collaborate with IT teams to utilize platforms like Zendesk for operational efficiency. • Support building property management tasks, including vendor coordination and space utilization. • Assist with scheduling and communication, maintaining calendars and correspondence. • Ensure the smooth functioning of office equipment and address any technical issues promptly. • Provide clerical support, including answering inbound calls and handling billing functions. • Maintain a detail-oriented and customer-focused approach in all interactions. Requirements • Proven experience in office management within a hospitality setting. • Familiarity with coordinating vendors, including electricians and other service providers. • Demonstrated ability to manage facilities for workplaces of 100+ employees. • Proficiency in Microsoft Office, Outlook, and platforms like Zendesk. • Strong front desk experience, including greeting visitors and managing inquiries. • Associate degree or higher in a relevant field. • Solid organizational and multitasking skills. • Ability to work effectively in a fast-paced environment while maintaining attention to detail.
