Duties Description • Assist program supervisors by preparing, collecting, and submitting performance evaluations and probationary reports for over 100 employees.• Ensures all performance and probations reports are submitted the DRE Administration on time to meet strict deadlines.• Keeps accurate and up to date files both electronic and hard copies.• Conducts mandatory training classes for Plaza Operations staff. Alphabetizes training attestations and reviews for submittal to DRE Administration. • Make outbound candidate calls to schedule interviews and creates meeting appointments using Outlook.• Assemble interview packets that include questions, worksheets, and position outlines.• Collect, prepare, and submit approved candidate’s initial paperwork for employment consideration and Executive approvals.• Based on the recommendation from the interview team, enters information into MEDIP.• Provide excellent customer service for tenant and the public, answering incoming calls and processing as needed, e.g., Elevator entrapment resolution, notify State Police for plaza and concourse emergencies, enter customer requests in AiM and notify appropriate building manager for all situations.• Perform other duties as assigned.
Minimum Qualifications This title is part of the New York Hiring for Emergency Limited Placement Statewide Program (NY HELPS)* and applicants must meet the following minimum qualifications to be considered for this position:Required Experience: One year of clerical experience.OR 52.7 Non-Competitive Promotion:If there are no more than three qualified candidates in the promotion field for this position, the agency will request approval from the Department of Civil Service to fill this position via a non-competitive promotion (NCP) examination, pursuant to Section 52.7 of the Civil Service Law. In order to be eligible for the NCP, candidates must be in the direct promotion field, have one year as an Office Assistant 1 and must not have failed the last holding of the promotion examination for the title listed above. Applicants may be appointed to this position if currently reachable on the appropriate eligible list for this title OR are a current New York State employee with one year or more of qualifying permanent service in a position allocated to a Grade 07 or above and eligible for transfer under Section 70.1 of the Civil Service Law. NOTE: IN ORDER TO AWARD THE PROPER CREDIT FOR WORK EXPERIENCE, RESUMES MUST INCLUDE MONTH AND YEAR FOR START AND END DATES. IF ANY OF THIS EXPERIENCE IS LESS THAN FULL TIME YOU MUST INDICATE THE AVERAGE NUMBER OF HOURS WORKED PER WEEK.

Candidates hired via NY HELPS will be appointed on a permanent non-competitive basis and will begin a probationary period.At a future date (within one year of permanent appointment), it is expected that NY HELPS employees will have their non-competitive employment status converted to competitive status, without having to take an exam. Employees will then be afforded with all the same rights and privileges of competitive class employees of New York State.
