Duties Description The Office of Financial Administration is responsible for overall agency fiscal management and administering the procurement process. As the Department carries out key initiatives to transform the way services are delivered to partner agencies and to the public, this position will play an important role in ensuring the success of these modernization efforts.The Office Assistant 1 (Stores/Mail) duties will include but are not limited to the following: • Daily pickup of mail and parcels from USPS location at Empire State Plaza (P-1) to be sorted for distribution to staff at Agency Bldg. 1 and Core 1 locations at Empire State Plaza. • Preparation of mail for offsite "Presort" and "Insert Job” processing by the Preferred Source entity. Mail is prepared daily by separating and counting quantities that are processed off site. • In house processing of outgoing mail with use of commercial mail meter equipment. Mail processing includes all methods of producing postage for different mail classes. • Monitoring Mail Room email inbox for incoming supply requests that are then given out to agency staff, including regular communication in email and phone messages about status of requests. • Receiving Mail and Parcels on behalf of the Agency Purchasing Unit. All mail and parcels must be received in accordance with Purchasing procedures, which involves review of quantity and completion of Agency Receiving Sheets. • Maintaining accurate Mail Room Inventory levels with use of Excel Spreadsheets to update data. • Transportation of confidential material and exams in agency Fleet Vehicle to offsite locations. • Use of pallet jack to receive dock deliveries at Empire State Plaza loading dock. • Provide assistance to the Department Shipping Unit when needed. • Valid license to drive state vehicle is required. • This position requires the ability to routinely lift and/or carry heavy items and the ability to routinely reach, bend, stand, and walk for long periods of time.
Minimum Qualifications NY HELPSThis title is part of the New York Hiring for Emergency Limited Placement Statewide Program (NY HELPS). For the duration of the NY HELPS Program, this title may be filled via a non-competitive appointment, which means no examination is required but all candidates must meet the minimum qualifications of the title for which they apply. At a future date, it is expected employees hired under NY HELPS will have their non-competitive employment status converted to competitive status, without having to compete in an examination. Employees will then be afforded with all of the same rights and privileges of competitive class employees of New York State. While serving permanently in an NY HELPS title, employees may take part in any promotion examination for which they are qualified.NON-COMPETITIVE MINIMUM QUALIFICATIONS (NY HELPS): There are no minimum education or experience requirements for this title.REASSIGNMENT QUALIFICATIONS: Current Department of Civil Service employees with one year of permanent, contingent permanent, or 55 B/C service as an Office Assistant 1 (Stores/Mail), if less than one year, you must be currently reachable on the Office Assistant 1 (Stores/Mail) eligible list for the Albany location if one exists.COMPETITIVE QUALIFICATIONS:You must be reachable on the current eligible list or eligible for transfer.70.1 TRANSFER QUALIFICATIONS:One year of permanent, contingent permanent, or 55 B/C service in a title eligible for transfer and determined to be similar by Civil Service.
