No County Queens Street Address 47-40 21st Street City Long Island City State NY Zip Code 11101 Duties Description The incumbent will provide support for the Division of Environmental Permits. Duties will include assisting with administrative tasks, primarily to scan and upload current and historical files into the Department’s Document Management Service (DMS) and shared drives; maintaining files in file rooms/areas/basement, make labels, transport, organize and catalog files, research and maintain filing system and lists; locating records for FOIL requests for retrieval, scanning and uploading to SharePoint, shared drives or DMS; assisting with sorting and distribution of incoming mail and packages as needed; operating office equipment including copier/printer/scanner/fax; using Microsoft Office and Adobe software.The incumbent will be responsible for a very high work output level in order digitize a large volume of permitting records including documents, plans and related correspondence. The implementation of the tasks requires proficiency in scanning, punctuality, reliability, and diligence. Attention to detail and organization are skills are necessary to scan, maintain and retrieve records in a proper, efficient and timely manner. Minimum Qualifications There are no minimum education or experience requirements for this title.Preferred Qualifications:Prior scanning, filing, record-keeping experience preferred. Proficiency in Microsoft Office software and familiarity with equipment and computer programs used to manage digital, shared files is necessary. High school diploma or possession of a high school equivalency diploma or a USAFI GED certificate (high school level) OR a satisfactory combination of education and/or experience assisting in engineering or related work, at the rate of six months of experience for one year of high school. Additional Comments This is a hourly appointment currently funded through 3/31/2026, with a likelihood of continuing beyond that date. Program needs and funding will determine actual termination date.
