Office Administrator

We are looking for a responsible Part-Time Office Administrator to perform various administrative, clerical, and marketing tasks. Duties of the Office Administrator include providing support to our managers and employees, assisting with daily office needs, managing our company's general administrative activities, and planning/executing marketing efforts. The ideal candidate should have excellent oral and written communication skills and be able to organize their work using tools like Microsoft applications and office equipment. If you also have previous experience as a secretary, executive assistant, or administrative assistant and are familiar with our industry, we'd like to meet you. Ultimately, a successful Office Administrator should ensure our office's efficient and smooth day-to-day operation.

ResponsibilitiesProvide administrative support to office staff, field managers, and subcontractorsPrepare, track, and maintain contractor paperwork, including insurance certificates, W-9 forms, proposals, and invoicesAssist with scheduling and coordinating maintenance and repair jobsMaintain organized digital and paper filing systems for contracts, projects, and vendor recordsPrepare reports, spreadsheets, and correspondence using Microsoft Office (Word, Excel, Outlook, PowerPoint)Communicate with clients, property managers, and contractors to ensure accurate and timely updatesOrder and track office and field supplies; coordinate with vendors as neededSupport general office operations and perform other administrative tasks as assignedAssist with accounting tasks as needed Other duties as assigned
