Job Description
The Office Administrator is responsible for processing accounts payable for the facility, ensuring timely and accurate payment of invoices. This role supports all month-end accounting reports and submits documentation of customer returns for credit to the accounting department. Additionally, the Office Administrator administers and coordinates facility HR functions, including new hire onboarding and benefits enrollment.
ResponsibilitiesApprove payroll for all hourly employees and temporary workers at the facility.Manage the facility’s attendance policy to ensure compliance and accuracy in timekeeping.Enter daily production into Titan software and coordinate with the production scheduler to correct and validate daily production data.Run reports for the facility manager and each supervisor after posting production.Run the Schedule Compliance Report for the facility manager.Perform other office tasks such as answering phone calls, attending to walk-ins, and ordering office supplies.Essential SkillsProficient in invoicing and Microsoft Excel.Strong skills in employee engagement and timekeeping.Experience in production reporting and document management.Customer service and data entry proficiency.Office administration and front desk management.Payroll processing.Additional Skills & QualificationsHigh school diploma or GED equivalent; an associate’s degree is preferred.At least two years of previous experience in office management; dispatching experience is a plus.Experience with invoices through mail and email.Experience with packing slips and shipping invoices is a significant advantage.Ability to scan and mail invoices into corporate, working with the corporate team.Experience handling phones and customer service.Experience with timecards is a plus.Proficient in Microsoft Office including Outlook and Excel.Familiarity with Titan software is a plus, beyond QuickBooks.Work EnvironmentThis role is on-site, working Monday through Friday from 8:00 am to 4:00 pm. You will collaborate closely with the Dispatch, Sales team, HR, and Regional Manager in a professional and supportive environment.Pay and Benefits
The pay range for this position is $20.00 - $23.00/hr.
