Workplace Associate
Compensation (if converted): $60,000–$65,000 annually
Contract Duration (10 Weeks) Pay Rate: 21-22/hr
Position Summary
The Workplace Associate plays a vital role in delivering a best-in-class workplace experience while supporting daily facility operations. As the first point of contact at Reception, this role is responsible for creating a welcoming environment and ensuring smooth operations through exceptional customer service, administrative support, and attention to detail. The ideal candidate will be proactive, organized, and committed to maintaining high professional standards.
Key ResponsibilitiesSite OperationsCreate a warm, hospitable environment for employees and guests.Manage internal and external communications, including the main phone line.Anticipate and respond to client needs to enhance the workplace experience.Support the Facilities Manager with additional responsibilities as needed.Assist the Workplace Management team with tactical planning and daily operations.Coordinate maintenance activities and manage work order systems.Process invoices and provide facility-specific support to project teams.Workplace ExperienceDeliver authentic, timely, and caring service to all workplace users.Direct teammates and guests to appropriate contacts and resources.Monitor office conditions and ensure timely follow-up on issues.Coordinate with vendors and service providers to ensure quality execution.Assist with meeting and conference room reservations.Visitor ManagementProvide efficient and personable visitor registration services.Ensure compliance with visitor access protocols and emergency response plans.Kitchen ManagementMaintain cleanliness and organization of kitchen and break areas.Monitor and restock snacks, beverages, and supplies.Order kitchen inventory and coordinate equipment repairs as needed.Mail ServicesManage incoming and outgoing mail and courier services.Oversee mail distribution and package processing.ComplianceAdminister and maintain office badge access.Support budget tracking, reporting, and analysis.Adhere to all Health, Safety, Security, and Environmental (HSSE) guidelines.Qualifications
Education & Experience
Associate’s degree in Facilities Management, Business, or related field, ORMinimum of 2 years of experience in Facility or Property Administration.Skills & Knowledge
Outstanding customer service and communication skills.Ability to remain professional under pressure.Strong planning, time management, and multitasking abilities.Proficiency in Microsoft Office Suite; advanced Excel skills preferred.Experience with Corrigo or other CMMS/work order systems.Highly organized and collaborative with a proactive mindset.Pay and Benefits
The pay range for this position is $21.00 - $22.00/hr.
