The Office Administrator position is located in Vancouver and reports to the Construction Administrator.
The Office Administrator is the first point of contact within the office environment and is responsible for providing administrative and clerical support services to support the Vancouver Operation. Responsibilities will include greeting and directing guests and visitors, preparing couriers, basic accounting procedures, ordering of office supplies and equipment, and assisting various departments with administrative duties.
Greeting and directing guests and visitorsAccepting general deliveriesOrganizing couriers - prepare waybills and schedule both local and inter-company courierSort, organize and distribute payables and vendor statementsAssist in day-to-day processing of accounts payable and reconciliations within established procedureAR receipts – scanning and processing through JD Edwards systemMaintain office equipment service and supplies and prepare, receive and distribute office supply ordersRefill orders for B&M printed materials (i.e. envelopes/letterhead) / business card ordersPrepare outgoing mail and receive, open and distribute incoming mailBuilding security close at end of each work dayGeneral office maintenance including: loading/unloading the dishwasher; coffee machine maintenance, watering plants, coordinate external building maintenance contractor as neededAssist with boardroom setup/cateringAct as regional mobile device administrator; assist with mobile device management, orders, changes, cancellations, and setup.Assist with mobile phone accounting summary retrieval and allocation.Assist with onboarding and setup tasks for field hires including HRIS setup, Litmos profile setup and orientation course assignments, coordinating laptop/training setup for new hiresCustomer Survey AdministrationAssist with asset tracking, recording and monitoringAssist with various fleet management tasks as neededBackup to Construction Administrator for payroll time entry, AP/AR responsibilitiesCOMPETENCY REQUIREMENTS

The starting salary will be based on several factors such as the successful candidate’s qualifications, including but not limited to education and experience. Salary is one component of Black & McDonald’s total rewards package.
