POSITION SUMMARY

The Office Administrator provides essential administrative and clerical support to ensure efficient operations of the dealership.   This position is multi-dimensional, providing support to local management through data entry, filing, procurement, bookkeeping and the coordination of human resources and safety/compliance functions.

 

 

ESSENTIAL DUTIES and RESPONSIBILITIES

 

Records daily cash, check and credit card depositsClears invoices and monitors accounts receivable aging scheduleBalances cash drawers and petty cash checking accountAssists with pre-employment and new hire paperwork and processesAssists with new employee onboarding as neededConnects local employees with HR, Payroll, and benefits providers for questions regarding pay, benefits or other HR needsAssists managers with documenting accidents or injuries and ensures that documentation is submitted to Safety/ComplianceResponsible for maintaining OSHA logs and reports for the facilityDocuments and submits monthly safety meeting minutesMonitors registrations and insurance for all company vehiclesIssues purchase orders for office supplies, maintenance items, etc.Enters vendor invoices and expense reports in accounts payableCoordinates events or functions that take place at the facilityKeeps office area neat, clean, and unclutteredPerforms other duties as assigned by management

QUALIFICATIONS 

To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. The requirements listed below are representative of the knowledge, skill, and/or ability required.

 

EDUCATION and/or EXPERIENCEHigh school diploma or general education degree (GED); additional related education/training is a plus1 year of related experience, demonstrating some of the key functions of the roleValid driver’s license required

 

REQUIRED SKILLSEffective communication skills and the ability to work well with othersProven experience in office administrationKnowledge of office administrative responsibilities, systems, and proceduresAbility to read, analyze, and interpret business documentsProficiency in Microsoft Office (Outlook, Word, Excel, PowerPoint, etc.) Hands-on experience with office equipmentDemonstrates tact and discretion, maintaining confidentialityExcellent time management skillsAbility to multi-task and prioritize workloadAttention to details and problem-solving skillsPositive attitude and strong organizational skills
