Job Description Summary

The Office Administrator is responsible for managing the facilities and accounts payable. Responsibilities include back-office operations, answering the main phone line, greeting visitors, coordinating office meetings and supporting the Director of Operations.

The ideal candidate will be detail oriented, able to handle multiple projects simultaneously and exhibit a friendly, professional, and customer service-oriented demeanor.

Essential Duties

Assist with office management activitiesCoordinate purchasing & stocking office supplies and equipmentOversee facilities management; work with building engineering and janitorial staffRegularly interact with clients, prospective clients and visiting executivesProvide technical support including new hire computer set up, meeting presentations, and equipment trouble shootingAnswer telephones, handle & screen calls, and route to appropriate individuals, or take messagesProcess and code invoices for paymentSort and distribute incoming mail and deliveriesMaintain postage machine, copiers, and fax machinesEstablish and monitor facility standards (cleaning and other maintenance)Act as office contact for property managementCoordinate meetings and/or special events, including set up, clean up and cateringMaintain office files: Electronic and hard copy filesPerforms other related duties as required or requested

Other Requirements & Administrative Duties

Bachelor’s Degree (Business, Communications, or related field) or 2+ years of administrative support experience in a corporate environmentCombination of education without a degree and corporate work experience will be consideredProficiency with Microsoft Office SuiteExcellent verbal and written communication skillsProven ability to exercise discretion in dealing with confidential information and highly sensitive issuesStrong interpersonal skills and problem-solving abilityHistory of excellent internal and external customer serviceProven record of punctuality and good attendance
