The Space and Occupancy Manager is responsible for the execution and delivery of space planning, occupancy management, and workplace data integrity across the portfolio. This role is focused on operational excellence, ensuring accurate space data, efficient seat utilization, and seamless coordination of moves, adds, and changes (MAC).This position partners closely with client stakeholders, while the primary client relationship ownership remains outside of this role. The focus is on consistent execution, data-driven decision making, and delivery against established space and occupancy strategies.
The Space and Occupancy Manager will lead a small team and have 2 direct reports supporting day-to-day operations.
Job Description
Key Responsibilities
Space Planning & Occupancy Execution
Execute space planning activities including block planning, seat assignments, and neighborhood alignmentMaintain and manage occupancy plans in alignment with workplace standards and business requirementsSupport short- and long-term space optimization efforts across the portfolioEnsure adherence to space policies including assigned vs. unassigned seating guidelines
Move Management (MAC)
Oversee and coordinate moves, adds, and changes across sitesEnsure moves are executed efficiently with minimal disruption to business operationsPartner with Facilities, IT, and Project Management teams to ensure seamless delivery of move activitiesTrack and report on move activity, trends, and volume
Data Integrity & Systems Management
Maintain accurate space and occupancy data within systems such as Serraview or equivalent platformsConduct regular audits to validate occupancy, seat assignments, and space utilizationEnsure data alignment across systems including badging, HR data, and ticketing platformsSupport reporting needs through accurate data management and governance
Reporting & Analytics
Produce regular reporting on occupancy, utilization, vacancy, and capacity metricsIdentify trends and provide insights to support portfolio decision-makingSupport scenario planning and test fits through data-driven analysisContribute to KPI tracking and performance reporting
Process & Operational Excellence
Establish and maintain standardized processes for space and occupancy managementDrive consistency across sites and regions where applicableIdentify opportunities to improve efficiency, automation, and service deliveryEnsure compliance with internal procedures and client standards
Team Leadership
Directly manage and develop 2 team members supporting space and occupancy operationsProvide day-to-day guidance, prioritization, and performance managementFoster a high-performing, detail-oriented team focused on execution and accountability
Key Interfaces
Facilities ManagementProject Management / Design & ConstructionIT and AV teamsBusiness Operations / Reporting teamsClient stakeholders (in a support and execution capacity)
Qualifications
5+ years of experience in space planning, occupancy management, or corporate real estateExperience with space management tools (e.g., Serraview, Archibus, or similar)Strong understanding of workplace strategies and occupancy planning principlesHigh attention to detail with strong data management capabilitiesAbility to manage multiple priorities in a fast-paced environmentExperience leading small teams preferred

The compensation that will be offered to the successful candidate will depend on factors such as whether the position is covered by a collective bargaining agreement, the geographic area in which the work will be performed, market pay rates in that area, and the candidate’s experience and qualifications.
The company will not pay less than minimum wage for this role.
