Job Summary

The National Facilities Manager is responsible for the oversight, maintenance, and compliance of designated company-owned and leased facilities across the country. This role ensures that each location meets operational, safety, regulatory, and budgetary standards. Searches, evaluates, and negotiates and contracts with regional vendors to provide preventative maintenance and needed repair services to assigned facilities managed directly and through other managers. The position requires close collaboration with regional leadership, operations, safety, and compliance teams to align facility performance with organizational needs.

Essential Functions and Responsibilities include the following:  

Develop National Facilities Management strategy, expanding to a holistic company-wide approach across all locationsManage the operation, maintenance, and physical condition of all designated facilities to ensure they remain functional, safe, and compliant with regulatory standards (e.g., FAA, OSHA, local building codes, and healthcare regulations)Create and is held accountable to the national facilities budget across multiple cost centersDevelop and maintains stand-alone facilities guidance for company-wide distribution and referenceCoordinate and assist regional leadership and local base managers to assess facility needs and execute upgrades, repairs, or expansions. Coordinate with/assist Greenfields team as appropriateSupervise and manage Facilities personnel day to day workload and duties, assist in prioritizing property requirements; delegate duties as required to balance national facilities coverage needs with on-site needs. Maintain oversight of third-party facilities managers/vendors at designated AMLLC facilities Oversee all spend activity and purchase requests. Combine all spend information into yearly plans and long-term forecasts for costs, savings targets, and planned projectsServe as SME to achieve facilities cost savings and improve quality and service levels while minimizing supply risk by identifying opportunity areas such as product standardization, supplier consolidation, and best practicesConduct basic troubleshooting of appliances, GSE, electrical, plumbing, HVAC and other systems and building issues to determine appropriate disposition. Perform basic repairs as able/if appropriate. Develop and execute repair plans, or supervise vendors if requiredLead vendor sourcing, contract negotiation, and oversight of third-party service providers including janitorial, HVAC, electrical, extermination, plumbing, fire/life safety systems, and groundskeeping. Undertake quality audits covering hard or soft services. Manage various facilities projects as requiredRespond appropriately to emergencies or urgent repairs as they arise, including after-hours emergencies as needed, managing Fresh Service workorder management systems and AIDMORs. Identify, report, and follow up on issues. Conduct root cause analysis (RCA) as neededCoordinate on-site vendors, reviewing vendor documentation, insurance, and verifying compliance with contracts and adherence to safety and security regulations. Escort vendors into restricted areas of the workplaceCollaborate with safety, compliance, and clinical operations teams to prepare for audits and ensure facility readinessEstablish, maintain, and enforce mechanical preventative maintenance programs to ensure minimum disruption to core activities. Oversee/perform regular maintenance as needed on all applicable equipment at designated AMLLC facilities.Develop proactive plan toward replacing end of life systems and managing capital expendituresIdentify issues of concern in building operations, develop proposals for redress and implement as appropriate.Conduct regular site visits and property inspections, ensuring they meet cleanliness, health and safety guidelines, and functionality of equipment and systems. Collaborate with stakeholders to establish standards for various facility typesDevelop and track strategies for state energy mandates and rebate programs. Develop and track strategies for state energy mandates and rebate programs  Maintain accurate records of building systems, inspections, repairs, warranties, and compliance documentationSupport facility planning for new site development and facility closures or transitionsOther duties as assigned

Additional Job Requirements

Regular scheduled attendanceAbility to travel regularly and respond to off-hours issues when required.Indicate the percentage of time spent traveling – 40%

Supervisory Responsibilities

Directly supervises employees in the facilities department.  Carries out Supervisory responsibilities in accordance with the organization’s policies and applicable laws.  Responsibilities include interviewing, selecting, hiring, and training employees, planning, assigning, and directing work, appraising performance, rewarding and disciplining employees, addressing complaints and resolving problems.  For Exempt Managers:  Managers that carry out these responsibilities for two or more employees will have significant input in hiring and termination decisions.

Education & Experience

Bachelor's degree in Facilities Management, Construction Management, Engineering, Business Administration, or a related field and seven (7) or more years’ related experience and/or training; or equivalent combination of education and experience5 or more years’ experience with related skilled trades (Electrical, carpentry, mechanic, HVAC, welding, machining, etc.) preferredPrior managerial role in facilities or work crews Strong knowledge of building systems, construction, maintenance practices, and applicable codes and regulationsExperience managing service contracts, vendors, and capital improvement projects, preferredExperience in aviation, air medical transport, EMS, or healthcare environments, preferred
