The Merchandise Contract Coordinator oversees the contract management process for the Merchandise Department. The Contract Coordinator works closely with Merchandise leadership, legal team, and our supplier partners to ensure contracts and addendums are created, tracked, processed, and activated accurately according to our business practices and standards. This role also provides administrative support to all suppliers and internal employees with issues, questions, and any tasks that might arise.
ESSENTIAL JOB FUNCTIONS
Responsible for the creation of draft supplier agreement contracts and addendums.
Oversees each workflow through completion, including activation and VFR (Vendor Fact Report) update.
Provides support and training for internal and external for contract process.
Ensures documents have appropriate electronic signatures and following up to obtain wet signatures as necessary.
Responsible for the accuracy and maintenance of our VFR (Vendor Fact Report) supplier programs and formulas, necessary VFR updates, document archiving, and other assistance as needed.
Provides status reports to leaders and executives for all contracts and addenda as they progress through each workflow.
Collaborates with Merchandise and Legal Department’s leadership teams to create new contract addendum templates or revise any existing templates.
Works closely with our Merchandise IT team to report issues with contract management software and to suggest and test enhancements.
Track promotional addenda.
Provides support/backup to Merchandise Support Staff when assistance is needed, including department phone coverage and backup to other Merchandise systems.
Performs annual audits on full supplier agreements to ensure our system information accurately reflects the contracts and/or addenda.
Monitors the age of existing supplier agreements and reviews with Merchandise SVP and leadership to determine when/if a new supplier agreement is necessary.
Special projects and other duties as assigned by leadership.
SKILLS/EDUCATION/KNOWLEDGE/EXPERIENCE/ABILITIES
Required:High school diploma or equivalent (GED)
Excellent verbal and written communications skills
Must be self-motivated, hardworking, and results-oriented
Excellent organizational skills, ability to multitask, time management, and attention to detail
Proficient in Microsoft Office Suite (Word, Excel, PowerPoint)
Excellent attention to detail
Desired:2-4 year college degree with emphasis in business, communications, or supply chain
2 years supervisory experience
Experience in a fast-paced office environment where priorities shift frequently
