The Medical Records Specialist is responsible for the accurate and timely management of patient health records in compliance with federal, state, and organizational regulations. Working within a comprehensive cancer center, this position plays a critical role in ensuring continuity of care, supporting clinical workflows, and protecting patient privacy. The specialist collaborates with oncology providers, nurses, and administrative staff to maintain, retrieve, and release medical information efficiently and securely.
Responsibilities
Maintain, organize, and retrieve electronic and paper-based medical records in accordance with HIPAA and facility protocolsProcess incoming and outgoing medical records requests, including continuity of care, legal, and insurance requestsScan, index, and quality-check all patient documentation into the electronic medical record (EMR) systemCoordinate with referring and external providers to ensure timely receipt and distribution of pathology, imaging, and lab reportsTrack consent forms, and critical documents to ensure complete and accurate patient charts.Assist with tumor board prep by gathering and organizing appropriate patient records and diagnostic reportsRespond to provider or clinical staff requests for documentation in a timely, courteous, and professional mannerMaintain confidentiality and uphold all privacy and compliance standardsParticipate in performance improvement projects and contribute to operational excellence initiatives.Qualifications
0-2 years of experience, preferredHigh School Diploma, GED or equivalent work experience, preferredAssociate’s degree or HIM certification (RHIT, CHAA, or equivalent) is a plusMinimum of 2 years of experience in a medical records, HIM, or healthcare administration setting preferredStrong knowledge of HIPAA and medical record handling standardsProficiency in EMR systems (e.g., ARIA, Epic, Cerner) and Microsoft OfficeStrong organizational skills and attention to detailAbility to work both independently and collaboratively in a fast-paced environmentPrevious experience in oncology or specialty clinic setting, preferredFamiliarity with medical clinic documentation workflows, preferredAnticipated hourly range: $15.20 per hour - $22.68 per hour
