Materials Management Specialist

JOB SUMMARY

The Materials Management Specialist supports the mission of providing quality healthcare to the patients of WhidbeyHealth Medical Center and Clinics by receiving, storing and issuing hospital and clinic supplies and equipment in a timely, organized and efficient manner. This position is responsible for accurately maintaining inventory and distribution of supplies stored in the Materials Management storeroom and consuming departments; using a computer-based Materials Management system to perform required duties; and other duties as assigned that support the Materials Management Department.                                                        

PRINCIPLE FUNCTIONS includes the following, other duties may be assigned:

Assesses inventory of patient care supplies in accordance with pre-established par levels for each delivery location. Completes inventory data entry from assessment into the materials management operating system and prints a "restock" list for each location. Stores received supplies, organizes/straightens supply room in accordance with department policies and procedures. Updates master supply inventory in the Materials Management Operating System. Compiles needed restock items from storeroom in preparation for delivery to each patient care location. Delivers supplies, organizes/straightens supply carts and shelves in accordance with department policies and completes supply posting process in Materials Management Operating System. Checks system for Materials Management requisitions from offsite and non-inventory departments and completes data entry, supplies assembly / packaging and / or distribution. Completes monthly outdate checks for expired products and completes discard and documentation process in Materials Management Operating System. Survey and remove recalled items as directed. Responds to customer calls for needed supplies, fills emergency orders as directed. Participates in PAR level adjustment process to reduce emergencies. Confirms pending orders in collaboration with purchasing clerk to ensure adequate supply of patient care items.

JOB KNOWLEDGE & QUALIFICATIONS

Education

Highest level of education completed, minimum high school diploma or equivalent required.                                                                                              

Training and Experience

Two (2) years of purchasing, supply, inventory, or materials handling experience preferred, preferably in a hospital or similar healthcare related setting.  Advanced knowledge of packing and shipping procedures. Advanced knowledge of storage and inventory management. Knowledge of materials handling equipment. Knowledge and ability to operate computer systems for materials management. Previous Meditech experience preferred. Must be able to plan, prioritize and organize work assigned within communicated deadlines. Must demonstrate good organizational skills with attention to detail. Must possess effective professional interpersonal skills as well as excellent service skills in all interactions with the ability to communicate effectively on the phone, in person and in writing.
