The Marketing Operations & Events Coordinator owns the operational planning and execution of ThermoSafe’s tradeshow and event program and plays a critical role in ensuring marketing operations run smoothly across the organization.

This role works closely with marketing team members and cross-functional partners across sales, product, operations, and finance to manage events, systems, memberships, inventory, and brand touchpoints that directly impact the customer experience. While execution is the primary focus, this role has the opportunity to contribute to and grow into greater ownership of event optimization and strategy over time.

What you’ll be doing:

Owning end-to-end planning and execution of ThermoSafe’s tradeshow and event programManaging event registrations, contracts, invoicing, and payment processingCoordinating logistics including booth space, vendors, shipping, and returnsMaintaining event calendars, timelines, checklists, and documentationPartnering cross-functionally to ensure teams are prepared and alignedSupporting post-event reconciliation, asset return, and continuous improvementManaging marketing-related memberships, subscriptions, and renewalsProcessing payments and supporting expense tracking in coordination with financeMaintaining and managing marketing inventory, including booths, samples, and branded materialsWorking confidently within marketing, human resources, and procurement systems to support workflows and approvalsEnsuring data accuracy, documentation, and operational consistencySupporting operational aspects of the ThermoSafe brand that interface directly with customersEnsuring customer-facing materials and experiences meet brand standardsOwning the execution of marketing and communications deliverables based on organizational needsCoordinating and distributing internal communications (announcements, updates, event communications)Supporting external-facing communications such as emails, event messaging, and customer updates

This is a hybrid position with in-office attendance at our Corporate Office location in Arlington Heights, IL.

2–4 years of experience in marketing operations, events, coordination, or a related roleExperience managing logistics, vendors, inventory, or paymentsComfort working within CRM, marketing, or procurement systems and learning new tools quicklyStrong knowledge of Microsoft Office tools, especially Excel (trackers, budgets, data) and PowerPoint (presentations, timelines)Exceptional attention to detail and accuracyStrong organizational skills and ability to manage multiple workstreamsProactive approach with energy and initiativeEffective collaboration skills across functionsInterest in growing from execution into greater ownership and strategyStrong communication, follow-through, and a focus on ownership and continuous improvement

Compensation:   

The annual base salary range for this role is from $84,640 to $95,220.
