How will you make an impact?We are seeking a highly organized and diligent Marketing Administrative Assistant to join our Events & Marketing Communications team within our Global Downstream Marketing organziation. This role will be central to ensuring smooth day-to-day operations of the team by managing administrative tasks, supporting content processes, and maintaining organization across marketing tools and platforms.
The ideal candidate is resourceful, proactive, and eager to learn, with a strong ability to juggle multiple tasks and support cross-functional teams.
What will you do?
Marketing Operations & SupportAssist with event coordination tasks to support the events team, including managing contracts, logistics, and processes required for engaging speakersHelp set up and manage webinars and virtual events via Demio, including scheduling, logistics, and reportingAssist in managing the Events & MarCom team budget, including tracking expenses and processing invoicesAssist in managing the printing of promotional material in accordance with the various processes in place in each countryAssist in managing the workflow related to Customer NotificationsContent & Asset Management:Upload, organize, and maintain assets in Showpad for sales enablement, and provide reporting on usageUpload and manage assets the digital asset management (DAM) systemManage content approval workflows by uploading and oversee marketing asset reviews through Adobe Workfront in compliance with local regulationsCoordinate translation projects, ensuring timely and accurate delivery of localized contentAdministrative supportProvide day-to-day administrative assistance to the Sr. Manager of Events & MarComAssist with ad hoc marketing projects and other operational tasks as neededKeys to Success:EducationBachelor’s or Associate’s degree in digital marketing, marketing, or a related fieldExperienceRequired2-3 years of experience in marketing or communicationsStrong organizational skills with exceptional attention to detailComfortable working across multiple digital tools and platforms (experience with ShowPad, Workfront, Adobe AEM assets, Demio, or Wordbee a plus)PreferredFamiliarity with marketing operations or content management systemsExperience supporting webinars or digital eventsExperience in healthcare or life sciences industryInterest in building a career in marketing or marketing operationsKnowledge, Skills, AbilitiesExcellent written and verbal English communication skillsAbility to manage multiple competing priorities and work effectively in a fast-paced environmentTeam player with a positive attitude who is prepared to go the extra mile to accomplish business objectivesBenefitsWe offer competitive remuneration, annual incentive plan bonus, healthcare, and a range of employee benefits.
