Essential Responsibilities
Performs administrative tasks such as receiving invoices, monitoring admin email for inquiries, answering phones, coordinating mail and couriers, photocopying, preparing and distributing correspondence and managing office supplies and cleanliness.Communicating with management, staff, visitors, shared services and other business contacts, acts as a resource for general administrative inquiries. Assists maintenance with capex project administration.Orders offices supplies and coordinates with the shore maintenance team to ensure inventory levels are adequately maintained.Maintains and updates various contact and distribution lists for the department or project as well as filing and maintaining crew and vessel files. Coordinates updates for the website and marketing materials.Schedules and coordinates meetings and events including facility, venue and resource booking, compiling required materials, and making catering arrangementsCarries out a range of diverse and sensitive administrative and operational duties within the departmentQualifications
2-3 years’ experience in a similar roleDegree/Diploma in administration is preferredExcellent written and verbal communication skills with strong attention to detail and accuracyPrevious experience in marine or transportation is preferred but not requiredPrevious experience with JDE would be considered an asset.Knowledge of MS Office applications, including Word, Excel, Outlook, PowerPointStrong organizational and planning skills and the ability to manage priorities; excellent attention to detail and accuracy.Ability to maintain confidentiality and work with regular supervision, collaborating well with others in a team environmentWork Conditions:

This is the expected base pay range for this role. Individual base pay will be determined based on a variety of factors including experience, knowledge, skills, education and location.
