**Job Overview**
This position will provide leadership, strategic input, and analysis of the health system's timekeeping and scheduling systems. This includes oversight of business process excellence, data integrity, and system optimization. Collaborates with stakeholders across all functions (HR, Finance, IT) to develop, enhance, and maintain processes that will create a best-in-class HR operations platform and excellent employee experience.
**Job Description**
**Minimum Qualifications:**
1. Bachelor's degree in a related field, such as Human Resources, Business Administration, Data Science, or other related field.
2. Five (5) years of experience leading Human Resources Technology Platforms.
3. Specialized experience with UKG.
**Preferred Qualifications:**
1. Master’s degree in related field.
2. Experience in healthcare operations strongly preferred.
3. Experience with Workday.
**Duties and Responsibilities:** The duties and responsibilities listed below are intended to describe the general nature of work and are not intended to be an all-inclusive list. Other duties and responsibilities may be assigned.
1. Responsible for the design and functional oversight of the timekeeping and scheduling platform for Process, Data Integrity, Optimization, Security and Compliance.
2. Responsible for the post-deployment stabilization and optimization of the new timekeeping and scheduling application (UKG) by participating and contributing to all the phases of the project such as Architect, Configure & Prototype, Testing and deployment.
3. Maintains and ensures the ongoing operational excellence of the HR systems and promotes continuous process improvement practices which drive automation, efficiency, and exceptional service delivery.
4. Responsible for the timekeeping and scheduling Service Catalogue and ensure that the service KPIs, KRIs, SLAs, cost to serve are relevant and are truly reflective of the service quality. Measure and report the quantitative and qualitative aspects of the timekeeping and scheduling service delivery. Escalate to an appropriate level, status, issues, and risks for the needed attention.
5. Provides relentless focus on delivering product enhancements that will drive real, measurable impact to improve the employee experience. In collaboration with HR and IT leadership, manage and support the releases of UKG and other related HR products in the ecosystem, to ensure that the tenants are using the most current release.
6. Collaborates with the Human Resources, Finance, and IT leadership team, colleagues and other key stakeholders across the healthcare system; fostering teamwork and collaboration to enhance the capabilities and rollout of new functionalities as per the deployment road map.
7. Partners with the Human Resources, Finance, and IT leadership team to collect and analyze data in support of HR strategic planning processes and coordinate system-wide efforts to drive HR performance improvement and optimization initiatives.
8. Continually evaluates customer needs, HR data integrity system reports, and scheduled and Ad Hoc system reporting. Ensure that the data is fresh and compliant with regular purges as outlined by the Legal and Compliance department.
9. Collaborate with the Technical teams including IT to build, test and deploy the integrations, reports, workflows, dashboards, and Security.
10. Supports the governance process within Human Resources, Finance, and IT to drive priority setting and effective management strategies across the health system.
11. Responsible for maintaining awareness of current trends in HR technology and understanding statutory and regulatory requirements with HR and Payroll.
12. Engages with the UKG community to remain informed of system enhancements, foundational operation, and execution of data management processes.
13. Collaborates with system and/or entity level resources in the development, planning, training and implementation of operational applications and processes to achieve entity and/or system goals and objectives.
14. Initiates and directs the identification and implementation of operating improvements and efficiencies by identifying important trends and variances through the review of management reports and operational analysis.
15. Identifies stakeholders at all levels of the organization and key organizational change management needs that recommended process redesign will have on a business unit.
16. Oversees the development of training materials, coordinates, and conducts formal and informal on-site application system education and provides support for the use of these systems and redesigned work processes. Identifies training and support needs, assesses tools and assists in the development of materials to effectively implement and support projects and related processes. Directs, schedules, and delivers training; maintains and updates all training materials as upgrades occur.
17. Acts as a technical and procedural knowledge resource for operational leaders and triages operational issues.
**Physical Requirements:**
1. Professional office environment with typical office requirements such as computers, phones, photocopiers, filing cabinets, etc.
2. This is largely a sedentary role, which involves sitting most of the time, but may involve movements such as walking, standing, reaching, ascending / descending stairs and operating office equipment.
3. Frequently required to speak, hear, communicate, and exchange information.
4. Able to see and read computer displays, read fine print, and/or normal type size print and distinguish letters, numbers, and symbols.
5. Occasionally lift and/or move up to 25 pounds.
**Skills & Abilities:**
1. Strong HR, payroll, timekeeping, and scheduling Business Process expertise, and advanced analytical skills; ability to lead, develop, conduct, test and document the operation of the timekeeping and scheduling systems.
2. Exceptional presentation skills with excellent verbal and written communication skills, possessing the ability to motivate team members to perform the tasks.
3. Knowledge and understanding of complex HR, Payroll, and Scheduling operations to maintain the credibility of HR systems.
4. Strong bias for action with a demonstrated track record of owning and delivering solutions successfully.
5. Strong interpersonal skills necessary to engage effectively at all levels for effecting timely progress.
6. Innovative problem solver with excellent critical thinking skills.

**Job Profile Summary**
This role focuses on supporting the design, development, and implementation of human resource programs and policies, including recruitment, training and development, compensation and benefits, mobility, talent acquisition, diversity, talent management & organization development and employee/labor relations. In addition, this role focuses on performing the following Workday and People Technology Solutions: vendor partnership relationship and integrations, configuring, maintaining, and report generation. Also, maintains employee records for accuracy for payroll and applicable integrations. Also prepares statistical summaries, dashboards, special reports and may support integrations. This role also ensures that Workday and People Tech Solutions are fully tested, operational, and connected to Tufts Medicine’s strategies. A management role that supervises employees focusing on tactical, operational activities within a specified area, with the majority of time spent overseeing area of responsibility, planning, prioritizing and/or directing the responsibilities of employees. Goal achievement is typically accomplished through performance of direct and/or indirect reports. A role that manages experienced professionals who exercise latitude and independence in assignments. Responsibilities typically include: policy and strategy implementation for short-term results (1 year or less), problems faced are difficult to moderately complex, and influences others outside of own job area regarding policies, practices and procedures.
