Job Summary
The Manager Intake Specialist is responsible for providing direct supervision, leadership and operational oversight of the Intake Specialist team. This role partners with referral sources and multi-disciplinary treatment teams to assess and process referrals for assigned programs and ensures admission decisions are made in the best interest of youth and families, and additional or alternate services are recommended, as needed.
Essential Job functions
+ Provide leadership and supervision to team members by offering quality feedback and mentorship on referral assessment and navigation skills.
+ Provide consultation to team members and program leadership regarding complex referrals to ensure the best level of care decision is reached to meet the needs of the presenting youth and family. Facilitate discussions with referring agencies regarding complex referrals and transitions for youth in care.
+ Utilize CARE principles in making decisions regarding service pathways for youth entering Hillside or moving throughout Hillside’s System of Care.
+ Work collaboratively with team members to disseminate duties, to ensure coverage of work and seamless coordination between team members, for any referral work and/or other agency duties/responsibilities.
+ Ensure staff allocations are aligned with the budget and reflect the time required to complete assigned duties.
+ Collect, aggregate, and analyze data to identify unmet needs, trends, and opportunities for improvement of existing services, as well as determining opportunities to serve targeted populations.
+ Ensure the Intake Specialists complete timely and accurate level of care assessments for assigned programs. Supervise team in accurate and timely completion of referral entry process for all service delivery regions.
+ Maintain and cultivate relationships with external partners such as school districts, social service departments, the Office of Mental Health, and community providers in order to collaborate on the challenges facing youth and families and to assess for opportunities for Hillside to be of potential assistance, based on knowledge of internal programs and services.
+ Participate in program intake meetings to provide expertise and to support referral discussions and decisions, when appropriate.
+ Ensure documentation of direct reports is accurate, timely, and communicated effectively to meet agency and regulatory requirements.
+ Facilitate Agency Utilization Management meetings to ensure residential youth continue to be placed in the appropriate level of care, offer suggestions for navigating challenging dynamics, and assist with discharge recommendations.
+ Collect, aggregate, and analyze data to identify unmet needs, utilization trends, and opportunities for improvement of existing services as well as determining opportunities to serve targeted populations.
+ Ensure Intake Specialists have a thorough understanding of Hillside’s system of care, including requirements, internal process, and utilization challenges.
+ Function as primary Intake Specialist for assigned programs as determined by the Director of Integration.
+ Assume remote on-call responsibilities on a rotating basis as per facility guidelines, as assigned.
+ While this job description covers many aspects of the role, employees may be required to perform other duties as assigned.

Shares accountability when delegating and involves staff in setting their performance goals.
+ Governance: Ensures Hillside policies, procedures and all applicable governmental laws/regulations/guidelines are followed. Makes decisions and has authority to implement decisions in conjunction with the leadership structure of the given area of responsibility.
Education & Experience
+ Bachelor’s degree in social work, psychology, mental health, or a related human services field required.
+ Minimum 5 years of experience in social work, psychology, mental health, or a related human services field required.
+ Minimum 1 year of supervisory experience required.
Special Requirements
+ Unrestricted, valid NYS driver’s license for minimum of 1 year with a clean driving record and minimum insurance coverage that meets agency standards.

+ Knowledge of Human Services system of care such as programs funded by Office of Mental Health (OMH), Department of Social Services (DSS), School Districts and Office of People with Developmental Disabilities (OPWDD) and ability to establish and maintain strong professional relationships with contacts in order to efficiently access care for children, youth, and families.
+ Ability to engage and work with youth and families and funders
+ Ability to complete thorough clinical assessments and navigate service pathways for youth and families which includes ability to communicate at all levels expertly and succinctly both orally and in writing.
+ Ability to always meet the highest standard for ethical and professional conduct towards all.
+ Ability to utilize problem-solving skills with self and others to successfully work through challenging situations.
+ Ability to lead projects, teams or facilitate multidisciplinary meetings with leadership skills.

+ The following physical demands are required:
+ Occasional sitting (up to 4 hours)

+ Continuous balancing (up to 8 hours)
+ Occasional balancing, bending, stooping, climbing, kneeling, pushing, pulling, reaching forward or down, reaching overhead, running, and twisting (up to 2.5 hours)
+ Weekly lifting up to 50 lbs. (community-based staff may be required to lift an empty wheelchair weighing up to 50 lbs.), 10-15 lbs. on a daily basis
+ Weekly carrying up to 55 lbs. approximately 10-100 ft., 10-15 lbs. on a daily basis
+ Manual dexterity is required, including the frequent ability to grasp in both hands and continuous use of fine manipulation skills in both hands (approximately 1-2.5 hrs.)
+ Occasional exposure to dust, fumes, gases or chemicals is apparent.
+ Protective clothing or equipment required: Close toed shoes; Protective Shields, Universal Precaution PPE, Gloves for toileting and food preparation
+ Ability to change positions as needed
$60,500 Minimum pay rate, $88,000 Maximum pay rate, based on experience.
