Job Summary

The Clinic Operations Manager I oversees daily operations of a physician office, clinic, or patient care facility in Dallas, TX, ensuring efficient workflows, regulatory compliance, financial integrity, and a high-quality, patient-centered experience. This role provides operational leadership , supervising administrative staff and partnering closely with physicians and Advanced Practice Providers (APPs) to support safe, effective care delivery.

The ideal candidate brings hands-on experience supporting Family Medicine or Urgent Care operations, along with demonstrated success collaborating with APPs (Nurse Practitioners and Physician Assistants) in a fast-paced outpatient setting.

Key ResponsibilitiesOperations & Workflow ManagementLead daily front-office and operational activities to ensure smooth patient flow and efficient clinic performance.Oversee registration, insurance verification, scheduling, payment collection, and check-in/check-out processes.Monitor provider schedules, room utilization, and wait times; implement improvements to reduce bottlenecks.Develop, review, and implement policies and procedures aligned with organizational goals and standards.Staff Leadership & DevelopmentSupervise front-desk staff, receptionists, and administrative support team members.Recruit, interview, hire, train, coach, evaluate, and, when necessary, recommend corrective action or termination.Create staff schedules, manage PTO and coverage, and adjust staffing based on patient volume.Support professional development and facilitate in-service education opportunities.Patient Experience & Service ExcellencePromote a welcoming, professional, and patient-centered environment.Address escalated patient concerns, complaints, and billing inquiries; ensure timely resolution and documentation.Monitor patient satisfaction metrics and implement service improvement initiatives.Compliance, Safety & QualityEnsure compliance with federal, state, and organizational regulations, including HIPAA standards.Oversee safety protocols, infection control processes, and incident reporting.Support audits and quality improvement initiatives.Financial & Revenue Cycle OversightManage front-end revenue cycle functions, including insurance verification and point-of-service collections.Monitor reconciliation reports, cash collections, and deposit logs.Submit invoices, assist with accounts receivable coordination, and support budget preparation and expense tracking.Communication & CollaborationServe as liaison between providers, clinical teams, and administrative leadership.Communicate operational updates, policy changes, and staffing needs.Participate in operational meetings and contribute to strategic improvement efforts.Facility & Resource ManagementEnsure the clinic environment is clean, safe, and patient-ready.Manage office and non-clinical medical supplies, vendor relationships, and equipment maintenance.Coordinate IT support and facility repair needs as necessary.Reporting & Performance MetricsTrack key performance indicators such as patient volume, registration accuracy, wait times, and patient satisfaction.Prepare operational reports and use data to identify trends and drive improvements.About Us
