The Center for Global Black Studies (CGBS) has an exciting job opportunity for a Manager of Business Operations to work at the University of Miami.
CORE JOB SUMMARY
The Business Operations Manager is a highly responsible professional, overseeing the day-to-day operational and administrative functions of a leading-edge Center for multidisciplinary Black scholarship, and community engagement. The Business Operations Manager’s responsibilities are executed under general direction of the Faculty Directors and assists with Center programs and events and represents the Center when faculty directors, as needed. Responsible for resolving concerns and coordination of a variety of business-related functions such as finance, budget, personnel, space and facilities planning, grant administration, maintenance and policy interpretation and dissemination. This role also works with the Senior Business Officer to provide financial analysis and strategic planning as well as manages the budgetary controls in partnership with various levels of management. Additionally, the incumbent serves as liaison between Center leadership and faculty, staff, students, alumni, parents, and the general community to help link the University with relevant local and international cultural institutions and Black communities.
CORE JOB FUNCTIONS
Manages the daily operations of the Center, including planning, organizing, and executing Center events (e.g. meetings, symposia, outreach events).Manages Center communication (e.g. email, website, social media, publications). Supervises and trains annual graduate and undergraduate student assistants.Serves as liaison between Center leadership and faculty, staff, students, and community to help link the University with relevant local and international cultural institutions and Black communities.At the direction of the Center director manages, implements, coordinates, plans and evaluates the business operations for the University Center with a matrix reporting line to the Senior Business Officer on financial responsibilities, which may include expense processing, statistical, performance and managerial reporting, budget support, capital planning, and process improvement.Develops and ensures adherence to the Center’s annual budget, in accordance with University guidelines and policies. Participates in financial analysis and planning including monitoring and reporting on monthly budget variances and opportunities to improve performance.Advances strategic financial plan and makes recommendations to senior management on how to best execute the Center’s plan.Generates annual impact reports for Director’s review.Oversees the review, approval and reporting of all expenditures to include financial transactions.Creates and manages support systems to ensure availability of cost-effective supplies, equipment, and management information.Monitors contractual obligations and ensures consistency with Center’s budget, goals, and programmatic initiatives.Evaluates existing internal controls and approval processes, and makes recommendations on how to improve fiscal integrity and operational efficiency.Implements unit human resources actions, which may include hiring, terminations, salary etc. Recruits, trains and prepares performance reports for staff.Establishes and continuously assesses the effectiveness of the internal controls within the unit and compliance with University policies and procedures.Ensures employees are trained on controls within the function and on University policy and procedures.This list of duties and responsibilities is not intended to be all-inclusive and may be expanded to include other duties or responsibilities as necessary.
CORE QUALIFICATIONS
Education:
Bachelor’s degree in relevant field required; Master’s degree preferred.
Experience:
Minimum 3 years of relevant experience. Appropriate combination of relevant education, experience and/or certifications may be considered.

Operations:
Liaises with Leadership, Human Resources, Finance, Facilities, and IT as needed to ensure effective business operations of the Center.Develops and implements internal procedures to facilitate effective flow of transactions between the Center schools / colleges, and University’ central offices.Assists with the preparation of special reports and participating with other faculty and staff in the planning and organization of major projects, events, and initiatives.Regularly reviews Center’s practices and implements recommendations for improvement where possible, especially to take advantage of new technology, training and administrative systems. Ensures compliance with university policies and procedures.Assists with the coordination of updating content for the Global Black Studies website.Fiscal:
Assists in developing short and long-term operational plans for the departments including projecting possible levels of support from multiple sources of funding. Develops and ensures adherence to the Center’s annual budget, in accordance with University guidelines and policies.Works with confidential reports, budgets, and payroll authorization.Assists in the preparation of grant proposals to include compilation of data and preparation of budget projections; monitors and verifies expenditures; ensures compliance with University and sponsoring agency policies and procedures and prepare financial and administrative reports for submission to sponsoring agencies. Oversees all departmental, support, Facilities & Administration (F&A), and research budgets to ensure compliance with UM and/or federal agency guidelines.Analyzes and monitors Center’s accounts.Supervises and facilitates all purchases and reimbursements for the Center. Responsible for negotiating vendor pricing and services and makes purchase decisions.Responsible for training of associated staff and faculty in fiscal policies and procedures.Oversees the expenditure control for all travel requests and the preparation of expenditure paperwork.Responsible for accuracy, timeliness and compliance with departmental, college and university policies and procedures.Identifies problems and opportunities, prepares financial summaries for the chairs on a quarterly basis and makes recommendations as appropriate.Ensures that expenditures on all accounts do not exceed budgeted levels.Personnel/Facilities
Responsible for all HR functions for the administrative and student support staff, which may include opening positions, recruiting, hiring, and onboarding new student staff, terminations, salary adjustments, reclassifications, Workday approvals, conducting annual performance evaluations for staff, and performance improvement plans as required.Develops goals and actions plans related to personnel administration. Implements procedures to accomplish approved goals.Direct supervision of exempt and non-exempt staff and student assistants, i.e., monitors attendance, performance, and workflow. Establishes priorities and ensures that tasks are assigned to appropriate individuals.Promotes and encourages professional development for employees. Ensures that all individuals receive appropriate training and instructions relative to their responsibilities. Ensures that technical and research personnel are informed of and comply with UM fiscal and personnel policies and procedures.Ensures compliance with University policies regarding searches; maintains appropriate back-up and documents
