NOTICE: Idaho's Public Health Districts are agencies that are authorized by the State of Idaho as independent bodies. District employees are not State of Idaho employees, rather District employees who receive benefits through the Office of Group Insurance. Location:Idaho Falls, Idaho Schedule:Monday – Friday, 40 hours/week Position Type:Full-Time GENERAL INFORMATION This position will support the General Support Division. The incumbent will support the District Director, Human Resources, Finance, and other areas of the agency as required. Travel may be needed throughout the district to satellite offices. DISTINGUISHING CHARACTERISTICS Incumbents perform minimal secretarial or clerical support functions. These positions require management or leadership skills as opposed to administrative secretarial or clerical support. Decisions are non-routine, and the consequences of errors may impact the department's internal and external customers. DUTIES + Provide administrative support by participating in the District’s Board of Health and Administrative Team meetings, which may include developing agendas, preparing and distributing minutes, and coordinating resources. + Support the District Director with administrative tasks and project-based needs. + Coordinate contracts with outside vendors for both routine and ad hoc needs (e.g., yard services, snowplow contracts, and project-based services). + Provide support to Building Maintenance, including monitoring service tickets, coordinating requests, and supporting the vehicle fleet. + Process and maintain monthly vehicle reports. + Manage mail and deliveries, including answering the door, logging checks, posting outgoing mail, receiving incoming deliveries, and distributing packages as appropriate. + May serve as backup support for finance and billing functions when primary staff are unavailable. + Provide backup support to Human Resources when needed, including: + Assisting employees with questions regarding policies, FMLA, and other employment matters. + Maintaining employee records such as staff lists, personnel files, and certifications. + Submitting and processing timesheets if HR/Payroll staff are unavailable, including assisting employees with time coding and tracking leave usage. + Monitoring employee compliance with required annual training as a backup function. + EMERGENCY RESPONSE ROLE– Employees of Eastern Idaho Public Health have an “Emergency Response Role” and may be requested to respond to threats of a public health emergency in accordance with the District’s Public Health Preparedness Plan. This may include requirements to work longer shifts, nights, or weekends, and to perform duties different than your daily routine. Employees will not be asked, expected, or allowed to perform duties for which they are not trained or qualified. + Other duties assigned by the Agency Director. MINIMUM QUALIFICATIONS + Excellent verbal and written communication skills. + Excellent interpersonal skills with the ability to manage sensitive and confidential situations with tact, professionalism, and diplomacy. + Excellent organizational skills and attention to detail. + Proficient with Microsoft Office Suite or related software. + Proficient with or the ability to quickly learn ticketing systems, payroll management, human resource information systems (HRIS), and similar computer applications.
