Maintenance Material Coordinator
Activities

Serve as the focal point providing hands-on assistance with transactions related to equipment preventive maintenance (PM), spare parts identification, material requisition, and planning to support base maintenance operations.

Key responsibilities include:

Raise Purchase Orders in line with business rules.

Ensure Purchase Orders are approved as per defined procedures.

Email Purchase Orders to suppliers if not automated by the system.

Process receipt of Purchase Orders using approved goods receipt notes/delivery dockets.

Request credit notes from suppliers and forward to Accounts Payable.

Build and maintain strong supplier relationships, ensure timely deliveries, and expedite pending orders.

Handle amendments to Purchase Requisitions (PR) and Purchase Orders (PO).

Process Material Requisitions (MR).

Coordinate shipment delivery inspections and materials receiving (GR).

Drive continuous improvements in the purchasing process.

Provide regular reports (weekly, bi-weekly, monthly) on MR, PR, and PO status; update shipment and delivery statuses, and notify section head of any critical or urgent material issues.

Assist the maintenance planner with materials support.

Manage material data on a day-to-day basis.

Oversee QA of equipment and spare part submissions (formatting, tagging) and purchase recommendations.

Interface with equipment suppliers and coordinate relevant training.

Track material deliveries.

Maintain effective communication among maintenance supervisors, procurement, warehouse, and other functional groups.

Contribute to the development of equipment strategies, maintenance plans, and service contracts.

Steward and manage KPIs for planning and sparing.

Qualifications

Minimum 5 years of experience in upstream or midstream oil and gas project/operations engineering.

Bachelor’s degree in Business Administration, Accountancy, or Finance preferred.

4–5 years of experience in a purchasing role, including data entry.

Strong ability to understand and follow oral/written instructions, and to prepare records and reports.

Ability to establish effective working relationships.

Strong organizational, planning, and project completion skills.

Professional verbal and written communication skills.

Ability to work independently and manage time with minimal supervision.

Experience in data extraction and continuous process/data quality improvement.

Skills

Strong understanding of purchasing principles and processes.

Familiarity with purchasing systems (preferred).

Analytical and capable of solving purchasing and inventory-related problems.

Strong data entry and documentation skills.

Excellent English communication skills (written and verbal).

Proactive, motivated, flexible, and highly organized.

Proficient in Microsoft Office (Word, Excel, Outlook).
