Mailroom Coordinator
Position Summary

Ricoh USA is seeking a highly organized and customer-focused Senior Receptionist to manage front desk operations while overseeing mailroom and copy center services. This hybrid role requires strong multitasking skills, attention to detail, and the ability to deliver exceptional service to internal and external stakeholders.

Key Responsibilities Reception Duties Greet and assist visitors, clients, and employees in a professional and courteous manner. Manage incoming calls, route appropriately, and take accurate messages. Maintain visitor logs and issue badges in accordance with security protocols. Coordinate conference room bookings and support meeting logistics. Handle general inquiries and provide information about Ricoh services. Receive, sort, and distribute incoming mail and packages. Prepare outgoing mail, including courier and overnight shipments. Maintain accurate records of incoming and outgoing deliveries. Ensure timely delivery of interoffice mail and packages. Monitor inventory of mailroom supplies and reorder as needed. Operate and maintain high-volume copiers, printers, and scanners. Fulfill print, copy, and scan requests from various departments. Ensure quality control of printed materials and timely delivery. Troubleshoot equipment issues and coordinate service calls when necessary. Track usage and report metrics to management. Qualifications High school diploma or equivalent; associate degree preferred. 3+ years of experience in receptionist, mailroom, or office support roles. Strong communication and interpersonal skills. Proficiency in Microsoft Office Suite (Outlook, Word, Excel). Experience with office equipment (copiers, scanners, postage machines). Ability to lift up to 50 lbs and stand for extended periods. Excellent organizational and time management skills. Preferred Skills Prior experience in a corporate or professional services environment. Familiarity with Ricoh equipment and services. Customer service certification or training is a plus. Working Conditions Office environment with frequent interaction across departments.
