Job Title: Compliance - Mailroom Specialist
Job Description
As a mailroom specialist, you will be responsible for handling a substantial volume of registration renewals, processing between 400-800 title mailings per day. You will assist the mail department in sending out renewal notices and cultivate relationships with DMVs and trusted vendors to ensure effective partnerships across the industry. You must be adept at operating both external and internal systems and technologies to manage processing and communication, and adhere to detailed tracking methods to ensure fleet vehicles are legally roadworthy.
Responsibilities
+ Print title, registration, and tax documents based on owner, state, and specific client or vehicle instructions to ensure compliance within state and county statutes.
+ Identify, analyze, and research to resolve state, county, and province license and title rejections or questions related to title, registration, and tax.
+ Create, update, and adjust print positions on a form through Forms Definition.
+ Order duplicate Manufacturer's Statement of Origin (MSO) directly through the manufacturer website and follow up until received.
+ Process title and registration transactions for vehicles moving to new states/provinces, for buyouts, and new vehicle deliveries not completed by delivering dealers. Obtain and issue temporary tags as appropriate.
+ Maximize transactions completed timely by following up with appropriate parties to ensure team metrics.
+ Perform inquiries with DMV agencies to validate data associated with a vehicle identification number (VIN).
+ Perform dealer follow-up to address pending concerns with initial title and registration.
+ Manage temporary tags to ensure vehicles comply within the state until hard plates are issued, follow-up as needed.
+ Process registration renewals using the appropriate resource for each jurisdiction, achieving department performance standards for accuracy and timeliness.
+ Ensure clients are billed correctly for renewals by verifying registration and service fees.
+ Reconcile discrepancies using data acquired from databases and vendor reports.
+ Contact drivers or clients when jurisdiction requirements are needed to complete renewals and coordinate with other departments to fulfill missing or late requirements.
Essential Skills
+ 1+ years of high-volume experience in mailroom, warehouse inventory, clerk
+ Strong attention to detail.
+ High School Diploma or equivalent.
+ Familiarity with Microsoft Excel and Microsoft Suite.
Additional Skills & Qualifications
+ Experience in handling auto registrations and renewals, document management.
+ Customer support experience, including call center operations.
+ Typing and administrative support skills.
+ Inventory management experience.
+ Excellent prioritization, accuracy, and attention to detail.
+ Good written and verbal communication skills.
+ Problem-solving capabilities.
+ Ability to multi-task in a fast-paced environment.
+ Self-starter who works well in a team environment.
Work Environment
This role is based in a corporate office environment in Schaumburg, operating on a contract basis until March 2026, with potential for extension or conversion based on performance. The position is business professional and requires independent work within an office setting. You will work from Monday to Friday, 8:00 AM to 4:30 PM, with a 30-minute lunch break. The office offers a quiet workspace with individual desks and cubicles and supportive colleagues available for questions. This is a Contract position based out of Schaumburg, Illinois.
Pay and Benefits
The pay range for this position is $20.00 - $20.00/hr.
