What this job involves:

As a Mail and Supplies Specialist at JLL, you'll be the operational backbone of our client's mail services, ensuring seamless handling of all incoming and outgoing communications while maintaining optimal inventory of supplies[Source: 1A-JLL Job Description Template.docx]. Working within our Integrated Facility Management business line, you'll coordinate mail handling across buildings, manage courier relationships, and serve as a critical customer service ambassador. This role offers the opportunity to directly impact daily business operations while contributing to JLL's reputation for delivering exceptional facility management services that help our clients achieve their ambitions.

What your day-to-day will look like:

Manage all incoming and outgoing mail and courier services, ensuring timely processing and accurate delivery

Coordinate with courier partners (DHL, POST, Securitas, S&S, etc.) to maintain excellence of service delivery

Monitor and maintain mail consumables stock according to agreed par-stock levels

Handle and update daily Trouble Ticket requests at least twice daily to ensure prompt resolution

Provide reception coverage when required, serving as an ambassador for JLL's Integrated Facilities Management program

Attend weekly catch-up meetings with Office Services Coordinator and Facilities Manager

Maintain frequent communication with key business partners to understand and meet their departmental mail requirements.

Required Qualifications:

Experience in hospitality industry or customer service role

Excellent verbal and written communication skills

Proficiency with Microsoft Office tools (Outlook, Word, Excel)

Strong problem-solving abilities with attention to detail

Good organizational skills and ability to prioritize tasks

Fluency in English and local language

Strong customer focus with professional demeanor.

Preferred Qualifications:

Previous experience in mail room operations or office services

Knowledge of courier services and shipping procedures

Experience with trouble ticket systems or service request platforms

Understanding of inventory management principles

Ability to suggest process improvements and efficiency solutions

Familiarity with reception duties and front desk operations

Experience working in a corporate office environment.
