Mail Services Coordinator

What this job involves:

This position reports to the Mailroom Manager and is responsible for effectively and efficiently running the mail room by managing overall mail and courier activity within the building. You will coordinate mail handling across buildings while liaising with courier partners to maintain excellence of service delivery and suggest ways to make mail processes more effective. This role contributes to JLL's business objectives by serving as a front-line ambassador of the Integrated Facilities Management program while ensuring accurate mail operations that support the wider JLL on-site team and enhance client satisfaction through reliable service delivery.

What your day-to-day will look like:

Manage incoming and outgoing mail and courier services while coordinating mail handling across buildings and liaising with team membersReceive, direct, and relay mail-related correspondence through telephone, fax, email, and scans with courier partner coordinationLiaise with courier partners including DHL, POST, Securitas, and S&S to maintain excellence of service deliveryPresent necessary data to manager about mailroom activity while monitoring and maintaining mail consumables stock according to par-stock levelsMaintain frequent contact with key business partners and stay updated with their departmental mail requirementsHandle and update allocated daily Trouble Ticket requests not less than twice daily when pendingAssist in training Mailroom Services Coordinators Floats while supporting the wider JLL on-site team.

Required Qualifications:

Experience in hospitality industry or strong customer service experienceExcellent verbal and written communication skills with strong customer focusProficient with Microsoft Office tools and problem-solving abilitiesGood organizational skills with ability to manage multiple tasks efficientlyFluency in English and local language with ability to handle correspondence across multiple channelsUnderstanding of mail room operations and courier service coordinationAbility to maintain accurate records and provide detailed handovers when absent.

Preferred Qualifications:

German language fluency as additional advantageExperience with mail and courier service management in corporate environmentsBackground in facilities management or office services operationsKnowledge of trouble ticket systems and daily task managementExperience with stock management and par-stock level maintenanceUnderstanding of Integrated Facilities Management program operationsFamiliarity with various courier partners and service delivery standards.
