Position Summary:
The Business Office Manager is responsible for overseeing all aspects of business office operations, including billing, collections, accounts receivable, and the management of resident trust funds. This position plays a critical role in ensuring timely reimbursement from all payer sources (Medicare, Medicaid, private insurance, hospice, and private pay). The BOM maintains strong communication with residents and their families regarding financial matters.

Key Responsibilities:
Leadership & Office Management
Supervise business office personnel, handle scheduling, conduct performance evaluations, and delegate tasks.
Ensure the office is adequately staffed and all administrative functions run smoothly.
Participate in leadership meetings and collaborate with cross-functional teams.
Revenue Cycle & Billing Oversight
Oversee and/or perform accurate billing and collections for all payer sources.
Monitor and follow up on aging accounts; escalate and resolve underpayments or denials.
Submit and track Medicaid forms to ensure timely processing of Medicaid applications and renewals.
Reconcile charges with the daily census and prepare clean claims for submission.
Track and report revenue cycle metrics, including cash collections and outstanding claims
Resident Financial Services (RFMS)
Manage resident trust funds with accuracy and accountability
Maintain compliance with all regulatory guidelines for patient fund management
Communicate proactively with residents and families regarding billing, Medicaid eligibility, and payment plans
Prepare and send monthly statements and collection letters; conduct follow-up as needed
Qualifications:
Bachelor’s degree in business, healthcare finance, or a related field OR 2+ years of relevant experience
1-2 years of skilled nursing or long-term care billing experience is required-
Working knowledge of Medicare, Medicaid, and third-party payer systems
Experience using billing software such as PointClickCare (PCC) preferred
Familiarity with RFMS (Resident Funds Management System) is a plus
Proficiency with Microsoft Office Suite (Excel, Word, Outlook)
Strong leadership, communication, and problem-solving skills
