Job Overview/Summary:

Reporting to the Logistics Manager, the logisticsassistant is responsible for the efficient coordination of all transport andfleet functions for IRC’s offices in Beirut. The position will be responsiblefor ensuring IRC policies and good fleet management practices across all thefield sites are implemented and will require regular travel to providetechnical support to the field-based operation staff.

The LogisticsAssistant is a focal point for all the reception of the deliveries requested byall the departments at the head office as well as assisting the logisticsmanager in all the assets and the properties related duties andresponsibilities.

Major Responsibilities:

Monitor fleet team and coordinate with him in all matters related to Beirut drivers.Review logistics and fleet trackers as needed.Submission of logs and fleet reports to Logs Manager as needed.Carry out regular training and meetings to Beirut drivers on basic vehicle mechanic skills, daily vehicle inspection, drills on safety driving, defensive driving, etc.Ensure the implementation of vehicle pooling system in a proper way.Coordinate with fleet & logs vendors as needed.
Dispatching the deliveries to the programs in Beirut and the fields.
Issuing delivery reports and product receiptfordelivereditemsHandle the Waybills between Field Offices.Dispatching assets to the staff in the fields.Way bills for inter-fields mail include filing and keeping documents relevant in adequate files.Create and compile fair share cost allocation (Beirut & fields).Prepare purchase requests, purchase orders & payments related to fleet team.Taking care of filing all the equipment issue forms for the assets.Assist support officer in Mid-year & end year assets & properties counts and reports.
Assist support officer in Donations and disposals process. Coordinate closely with procurement teams for all delivery need.

Key Working Relationships:

PositionReports to: Logistics Manager.Directlysupervises: Senior Driver.Internal contacts: Field Fleet Staff, Supply chain team, FinanceTeam, Programs team.External contacts: Service providers, Suppliers, Partners.

Minimum Qualifications:

Job Requirements:

2-3 years of experience in Logistics & Fleet.Valid driving license.Must be computer literate, including Microsoft Office.INGO experience preferred.Knowledge of generic Supply Chain procedures and practices (IRC or NGO experience advantageous).Familiarity with major donors and local regulations/laws advantageous. Arabic Fluency & good English spoken skills.

WorkingEnvironment: The position will be basedin Beirut with field travels.
