Local Payment Manager

We are seeking a Local Payment Manager to join our team!

As a Local Payment Manager, you will own and manage the end-to-end site payment process for studies in Brazil. You will be responsible for ensuring compliance with payment timelines and for providing all related support to both the sponsor and the study sites.

What you’ll be doing:

Start-up activities:
•    Participation in Trial Oversight Meetings to obtain information on updates to EDC structure and dependencies on payments
•    Setup of study country fee templates
•    Consult with the Contract Manager how to include payments in the budget part of the contract.
•    Send feedback to CTM/CTL/PME in case entries are missing (in general in the global template) or if there is a mismatch in programming vs. (missing) output/assignment of visit fees noticed while creating an invoice request.
•    Setup of site fee schedules.
•    Managing site payees in MDG.
•    Managing site payees.

Study Conduct:
•    Tracking Site Payments Coordinator.
•    Triggering of payable items.
•    Tracking payment relevant information.
•    Generation of payment requests.
•    Sending payment letters to sites.
•    Inform site about the payment process with BI (self-billing, payment request, mandatory specifications for invoices) , introduce oneself as SPOC for payments.
•    Compare the invoice to the services already performed – either from visit completion in CTMS/ CDMS or additional confirmation from CRA, if needed or relevant payment terms in CTA.
•    Review the invoices and maintain correct and relevant information in IVT to support payment of the invoices. 
•    Perform content review of the invoice and initiate approval
•    Requests sites to provide updated invoices in case of mismatch or incomplete invoices
•    Redact / request redaction of person identifiable information from the site invoices as per the BI GDPR policy and requirements.
•    Financial review of invoices
•    Create or support in creation of relevant reports for Accrual reporting.

Amendment Management:
•    Setup of new study country fee templates superseding the previous ones.
•    Receive Contract Amendments from contract manager.
•    Assign new study site payee.
•    Terminate previous Fee schedules and create new.
•    Automatic reconciliation of payable items in case of change in fees.
•    Review the pay no marked payable items and update if applicable.


Study close out:

•    Ensure holdback is paid at the time of closeout as contractually agreed with the site (post alignment with the CTM).•    Ensure payment of all outstanding invoices before site closeout.•    Keep track of open payments requests, site has not yet invoiced (even after site closeout).

What we are looking for:

Graduated associates - Bachelor's Degree in Finance or other related fields.

4 years of clinical research experience supporting payments in Brazil or an equivalent combination of education, training, and experience in financial activities in Brazil.

Good communication skills.

Advanced English level and communication skills in the language.

Fluid in Spanish is preferrable, able to communicate and understand.

Based in São Paulo.
