About this Job
This is a full-time position located at the State Library in Baton Rouge, LA.
This position functions as an assistant administrator within the Recorder of Documents Office in the Louisiana Collection. Under the supervision of a Library Manager 1, the incumbent performs highly specialized technical tasks by organizing and managing government documents through the Louisiana Public Document Depository Program (LPDDP), a statewide program mandated by law. The position requires a comprehensive understanding of the operation of the LPDDP and includes processing of official state publications in all formats, demonstrating skill with word processing, internal database management, spreadsheet software, and digital file management to perform complex operations. Additionally, the ability to perform in-depth searches within the State Library’s catalog and digital archive, is necessary. Strong interpersonal and communication skills, coupled with proficient writing abilities, are essential.

Minimum Qualifications
One year of experience in administrative services.
EXPERIENCE SUBSTITUTION:
Every 15 semester hours earned from an accredited college or university will substitute for six months of the required experience.

Job Duties and Other Information
Job Duties:
Core LPDDP Work
+ Receives and processes shipments of state agency publications in print format for distribution to designated depositories
+ Receives and processes a high volume of born-digital state documents through email and FTP retrieval
+ Performs bibliographic searches in State Library’s online catalog and proposes classification using BISAC subject codes
+ Manages and ensures accuracy of data in spreadsheets reflecting submission from state agencies, depository libraries, and for the Recorder of Documents Office
LPDDP Work with State Agencies
+ Monitors daily email and phone inquiries from agency liaisons, consulting with the Recorder when necessary
+ Assists with distribution and collection of annual publication report forms, semiannual letters, and contact information forms, updating internal databases to reflect changes
LPDDP Work with Depository Libraries
+ Monitors daily email and phone inquiries from depository contacts, consulting with the Recorder as needed
+ Processes and organizes incoming weekly shipments of print materials into designated depository receptacles
+ Prepares quarterly print shipment for statewide distribution by creating address labels and packing shipping bags
+ Scans shipping bags before transporting to platform for pickup by delivery service
Other Tasks
+ Receives, processes, and prepares print federal documents for Reference Department
+ Communicates with staff from Technical Services, Access Services, Reference Department, and Louisiana Collection as needed
+ Participates in annual Louisiana Book Festival
+ Performs other duties as required
Position-Specific Details:
Work Schedule: This is a full-time position that reports in-office. Overtime and/or travel may be required of this position.
Appointment Type: This is a probational appointment; current classified permanent status employees may be required to accept a probational appointment.
Career Progression: This position may be filled as a Library Specialist 1, 2, or 3.
