We are seeking a highly organized and detail-oriented Legal Timekeeper Rate Administrator to join our team. This role will be responsible for managing and validating timekeeper rate submissions from outside counsel, ensuring data integrity, and supporting rate programs such as promotions, annual increases, and RFP implementations. The ideal candidate will have experience with law firm billing structures, legal billing platforms, and a strong focus on data accuracy and compliance.

Responsibilities

· Rate Request Review & Approval

o Verify accuracy and completeness of timekeeper rate submissions before approval.

o Check approved rates against internal guidelines, historical data, and effective dates.

o Confirm that all required data fields are correctly populated, including timekeeper name, classification (e.g., partner, associate, paralegal), currency, billing office, and practice group.

 

· Data Entry & Documentation

o Accurately input rate data and comments into billing and matter management systems.

o Ensure that rate change justifications, supporting documents, and notes are properly recorded and accessible.

 

· Rate Program Management 

o Assist with the implementation and administration of firm-wide rate programs, including:

- Graduation/Promotion Programs (e.g., associate to partner).

- Annual Rate Increase Program in accordance with internal policies and market benchmarks.

-RFP/Panel Rates following law firm selection or preferred provider negotiations.

 

 

· Data Integrity & Clean-Up 

o Perform regular audits and data clean-up of timekeeper records to remove duplicates, correct misclassifications, and update outdated information.

o Coordinate with legal vendors and law firms to resolve data discrepancies or missing information.

Qualifications

· Bachelor’s degree in business, legal studies, finance, or a related field or equivalent experience

· 5 – 10 years of experience in legal billing, law firm administration, legal operations, or vendor management. 

· Familiarity with legal billing systems

· Strong understanding of legal billing rate structures, classifications, and compliance standards.

· High level of accuracy and attention to detail in data entry and analysis.

· Strong communication and collaboration skills to interact with law firms, internal legal teams, and finance.

 

Preferred Qualifications:

· Experience supporting large-scale legal rate programs or RFP initiatives. 

· Working knowledge of billing guidelines and legal operations best practices (e.g., CLOC).
