Legal Secretary
Description We are looking for a meticulous and proactive Legal Secretary to join our team on a contract basis in Napa, California. In this role, you will provide essential support to attorneys and fiduciaries in managing trust administration tasks, ensuring accuracy, and meeting critical deadlines. This is a fantastic opportunity to contribute to a dedicated team specializing in estate planning and trust administration. Responsibilities: • Assist attorneys in trust administration by gathering and organizing asset details, drafting correspondence, and preparing necessary legal documents. • Prepare and file essential legal paperwork, including trust certifications, notices to beneficiaries, and trust accountings. • Communicate directly with clients, financial institutions, and government agencies to handle asset valuations, title transfers, and administrative matters. • Collaborate with CPAs and financial advisors to ensure trust funding and tax compliance are completed efficiently. • Monitor and manage deadlines for significant trust administration milestones, such as tax filings and distributions. • Maintain accurate and organized case files and follow firm protocols to uphold confidentiality and high standards. • Utilize case management software and tools to track progress and manage workflows effectively. • Coordinate schedules and tasks to ensure seamless communication and adherence to timelines. Requirements • Strong verbal and written communication skills, with the ability to engage professionally with clients and external partners. • Proficiency in tools like Aderant, Adobe Acrobat, and case management software is highly preferred. • Exceptional attention to detail and organizational abilities to manage multiple tasks simultaneously. • Familiarity with trust administration processes and legal documentation preparation. • Ability to handle sensitive and confidential information with discretion and professionalism. • Experience with billing functions, calendar management, and client relations. • Paralegal certification is preferred but not required. • Knowledge of software such as CompuLaw and ACRIS is a plus.
